Executive Administrative Assistant
Duties/Responsibilities:
  • Will occasionally work on special projects for/with the leadership team.
  • May perform office tasks including maintaining records and ordering supplies.
  • Performs other related duties as assigned.
  • Runs both professional and personal errands, as needed.
  • Performs clerical and administrative tasks including drafting emails, letters, memos, reports, and other documents.
  • Manages calendar.
  • May assist with event planning, as needed.
  • Schedules and attends meetings as needed, taking notes and recording minutes.
  • Arranges travel and accommodations, makes purchases and pays bills, as directed.
  • Provides high-level administrative support and assistance to the Dealer Principal.
  • May review incoming communication or memos, determine importance, and summarize and/or distribute content appropriately.
Required Skills/Abilities:
  • Excellent organizational skills and attention to detail.
  • Some evenings and weekends are required.
  • IT expertise needed to help with desktop pc, laptop, mobile devices, etc.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Discretion and confidentiality required.
  • Excellent verbal and written communication skills.
  • Comfortable and confident dealing with high level executives.
  • Ability to function well in a high-paced and, at times, stressful environment.
  • Flexible availability.
  • Extremely proficient with Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, Teams, etc,
  • Excellent time management skills with a proven ability to meet deadlines.
  • Some travel between dealerships may be required.
Education and Experience:
  • Bachelor’s degree in Business Administration or related field preferred.
  • At least three years of related experience required, five years of experience preferred.
Physical Requirements:
  • Must have a clean driving record and be able to pass a background check and drug screening.
  • Must be able to lift up to 20 pounds at times.
  • Prolonged periods sitting at a desk and working on a computer.
