Company Overview
- Provide budget management support; payment/invoice processing, etc.
- Manage and maintain schedule, including scheduling travel, making meeting appointments, and making changes to meeting appointments
- Opening, sorting, and distributing correspondence, including email, faxes, mail
- Data analysis; filtering and sorting of data, V-lookup and other functions
- Provide administrative support during operational emergencies
- Record meeting discussions and provide minutes for EH&S Executive Advisory Committee, Sustainability Committee, and industry groups that EH&S leadership serves in board of director or leadership capacity
- Sorts and distributes mail. Drafts written responses by phone or e-mail when needed. Responds to regularly requests for information and government agency follow up
- Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner
- Overseeing administrative EH&S office policies and procedures – i.e. building procedures; evacuation procedures; visitor guides
- Organize and maintain files and databases in a confidential manner
- Support environmental and sustainability reporting
- Design and maintain databases for PPE and EH&S equipment
- Prepare draft responses to routine memos, letters, or correspondence with government agencies, industry groups, and contractor companies
- Coordinate ergonomics program and assessments
- Maintain office supplies. Anticipate office needs; evaluate new office products; place and often expedite orders when necessary
- Ensure operation of office equipment, order maintenance when necessary. Troubleshoot malfunction of office equipment
- Prepare EH&S reports, collect and analyze information; prepare presentations
- Coordinate contractor engagement activities and other department activities involving external companies and contacts
- Prepare and develop a records management system; maintain and recommend changes to records system when appropriate
- Manage EH&S equipment inventory
- Assist with regulatory submissions and correspondence
- Coordinate and support EH&S Town Hall meetings and EH&S related company events
- Exemplary planning and time management skills
- Self-motivation, high level of organization skills, and the ability to manage multiple work priorities
- Ability to multitask and prioritize daily workload
- Certified ergonomics assessor preferred
- Proficient computer skills, including Microsoft Office
- Comfortable with routinely shifting demands
- High level verbal and written communications skills
- Working knowledge of general office equipment
- High degree of attention to detail
- Data entry experience
- Ability to analyze information affecting his or her scope of responsibility, and to incorporate that analysis into sound business decisions (e.g., improving administrative processes to enhance departmental efficiency)
- Discretion and confidentiality
- Strong verbal and written communication skills
- Expert in Excel and Powerpoint
