As a forward-thinking organization, we are on the lookout for a highly motivated and skilled independent contractor to join our team as an Events Coordinator and Administrative Assistant. This is a fully remote position, offering flexibility and a chance to work in a dynamic virtual environment. Job Overview: As an Events Coordinator and Administrative Assistant, you will be a pivotal force behind our outreach efforts and internal coordination. This multifaceted role demands a proactive and highly organized professional with exceptional communication skills and the ability to take the lead in event planning and administrative tasks. You will be instrumental in creating meaningful connections with various stakeholders while ensuring the smooth execution of events and maintaining the high standards of our organization.
Responsibilities:
- Event Coordination: You will be responsible for planning, organizing, and coordinating representation and logistics for various pre-health conferences and events throughout North America. This includes college fairs, board meetings, webinars, annual conferences, classroom presentations, and virtual fairs.
- Webinars and Workshops: Coordinating registration, speakers, promotion, and reporting for monthly webinars will be one of your primary tasks.
- Communication Management: Ensuring consistent and engaging communication is vital. You will handle interactions via phone, email, and website chat with prospective students, advisors, naturopathic doctors, and the general public, promoting the brand image of AANMC. You will assist in review of newsletters, blogs, and web content to ensure consistency in event promotion and messaging.
- Centralized Residency Application Management: You will update residency application services communication, manage the residency portal, and respond to inquiries from resident applicants and sites. Reporting on residency cycle performance will also be part of your responsibilities.
- Executive Support: Managing calendars for the executive director and several committees is essential, along with maintaining AANMC digital files and assisting with marketing inventory for external events.
Requirements:

- Problem-Solving: Proactive problem-solving and strong decision-making skills will help you navigate challenges and find creative solutions.
- Communication Skills: You possess excellent written and verbal communication skills, allowing you to engage effectively with prospective students, AANMC volunteers, and other stakeholders.
- Experience: Proven experience as a remote executive assistant or in a relevant remote administrative role is essential for this position.
- Organizational Skills: Strong time management, meticulous organizational skills, and attention to detail are crucial in handling multiple tasks and meeting deadlines in a fast-paced environment.
- Tech Savviness: In-depth expertise with MS Office suite, Zoom, Doodle, Active Campaign (email management system), Gmail, Google Calendar.
