Job Description

Who we are:

The Executive Council is a network of established and rising corporate executives, startup founders, investors, and government leaders who collaborate and share ideas in private settings. EC’s events have a geographic focus in 35+ cities globally and are highly-curated, intimate gatherings without the pressure of press or solicitation.


The Admin & Events Assistant will be responsible for supporting event and administrative duties, including:

The role:

Support Event Operations:

  • Venues – Support sourcing of event venues and manage venue contracts; adhere to deadlines
  • Impeccably maintain and keep all files updated on an ongoing basis; proactively find ways to streamline and optimize process
  • Work with EC staff and venue pre-, during and post-event, to ensure an impeccable experience for attendees at all events
  • Internal Traffic – support internal meetings, comms flow, general information trafficking
  • Speakers – Research potential speakers & outreach as needed
  • Events – own list management, RSVP tracking, confirming attendees via email, sending calendar invites
  • Other duties as mutually agreed upon
  • Marketing – Scheduling marketing emails for events, testing A/B subject lines, tracking results


Essential Qualifications:

  • Deadline driven and extremely organized
  • Proficient in Microsoft Office, Google Docs/Sheets, Zoom/Teams
  • Startup experience preferred
  • Impeccable, proactive and professional written and oral communication with all parties (internal staff, sponsors, vendors, etc.)
  • Demonstrate entrepreneurial spirit and action
  • 2 - 4+ years working in a B2B environment
  • 2+ years of administrative / events experience

  • If you have worked with Marketing Automation tools: Hubspot, SendInBlue, Mailchimp, etc.
