This position supports the Vice President, Finance – Revenue Growth Management and the Revenue GrowthManagement team. The desired candidate must be organized, collaborative and proactive and must also exerciseindependent judgment and discretion. This position requires performing tasks in a fast-paced environment,working with multiple stakeholders and supporting multiple projects simultaneously.
PRIMARY RESPONSIBILITIES:
- Provide primary administrative support for the Vice President, Finance – Revenue Growth Management. Keyactivities include maintaining executive’s calendar, proactively addressing scheduling conflicts, and setting up and maintaining appointments and meetings. This role also practices speed and agility and helps to prioritizecompeting meetings, tasks, or projects.
- Make arrangements for all travel and conferences. Ensure travel approvals and expense reports are completedin a timely manner.
- Maintain organizational charts and distribution lists for the RGM department.
- Schedule and organize monthly team meetings.
- Works efficiently with minimum supervision
- Coordinate with NBS to research venues for large group offsite meetings.
- Order office supplies, equipment, etc. on behalf of team as needed.
- Create presentations to include charts, graphs, etc. and provide editing expertise on team decks.
- Maintains purchasing card (P-Card) for teams. Ensures all payments are in accordance with compliancepolicies and maintains appropriate records.
- Schedule and manage arrangements for meetings and events including, rooms, ordering meals, refreshments,travel logistics, etc.
- Responsible for processing invoices for the department through P-Card or SAP system. Maintains appropriatevendor files and audit trail.
- Assist department leadership team as needed.
- Serve as a liaison with direct reports, employees and vendors.
- Maintain a high level of confidentiality for sensitive and confidential pertaining to the team, financials, etc.
QUALIFICATIONS/EXPERIENCE:
- Advanced PC skills required, including MS PowerPoint, Word, Excel, and Outlook, team rooms and share points
- Minimum of 3-5 years administrative experience required
- High School Diploma required; Bachelor’s Degree preferred
- Ability to handle multiple projects simultaneously
- Ability to work in team-based environment, developing cross-functional network of resources, maintainingeffective working relationships
- Experience in SAP is preferred
- Detail oriented and able to work in a fast-paced environment
- Strong communications skills, both oral and written. Demonstrates professional judgment and discretion
