The Non-Profit Housing Association of Northern California (NPH), an affordable housing advocacy organization based in San Francisco, is looking for a strategic organizational leader who can spearhead internal nonprofit operations and support a strong team. This person is passionate about working collaboratively to improve systems and processes to support the success of a membership based advocacy organization.
NPH is a nonprofit 501(c)(3) tax-exempt organization founded in 1979. We activate our members to make the Bay Area a place where everyone has an affordable and stable home. We are 750 affordable housing developers, advocates, community leaders and businesses. We work to secure resources, promote good policy, educate the public and support affordable homes as the foundation for thriving individuals, families and neighborhoods. Our vision is a future where everyone has a place to call home and where low-income communities and communities of color stay and prosper in the Bay Area.
We have a record of success passing legislation and winning ballot measures, and offering critical programs to strengthen our industry and movement. NPH is dedicated to advancing racial and economic equity and inclusion in the communities we serve, in our organization, and in the affordable housing industry and movement. NPH has over 20 staff members and a budget of over $6 million.
The Deputy Director of Internal Strategy & Operations leads the overall strategy of the organization in the areas of Operations/Admin, HR, Finance, Facilities, Technology, and Systems. This position ensures that the organization is well managed and operates efficiently and effectively in order to fulfill its mission with impact and sustainability. This position ensures that NPH staff are supported with internal resources, professional development, and strong operations in order to be successful and move their work forward. The Deputy Director position requires a high degree of leadership, collaboration, strategic thinking, and operational management skills to support the team, organization, strategic plan and programmatic work. This senior management position reports to the Executive Director.
Job Summary
The Deputy Director’s primary objectives are to maintain and strengthen NPH’s organizational capacity towards fulfillment of its mission. This position will work in collaboration with the Executive Director and senior leadership team in preparing near-term and long-term strategies to achieve organizational goals. The Deputy Director manages the operational, financial, and HR functions of NPH, ensuring the organization is appropriately staffed and there are essential internal systems in place for the efficient and productive functioning of the organization. This person will be responsible for creating strategic objectives for the entire organization which will include developing human resource, financial, and IT strategies to meet the organization's needs and goals.
The Deputy Director supervises the Senior Operations and Finance Manager, the Accounting Manager, and a Data Manager (future position). The Senior Operations and Finance Manager supervises the Administrative Associate. The Deputy Director will have a hands-on approach to their work, provide mentorship and strong supervision, and offer practices that can enhance everyone's current skillset.
This position will serve as a thought partner with the Executive Director and hold several key leadership responsibilities, including: partner with the Executive Director to achieve overall organizational goals and objectives; interface with the Board of Directors on appropriate issues; and, serve as a member of the organization’s senior leadership team.
Duties and Responsibilities
Admin/Operations 25%
- Cultivate an atmosphere of clarity, mutual respect, and inclusiveness for staff, and promote a culture of collaboration
- Monitor and evaluate the performance of these systems to ensure that resources are used effectively and efficiently, and make adjustments as necessary
- Oversee implementation of best practices in nonprofit management and administration, and strengthen operational and data systems toward long-term organizational sustainability, impact, collaboration and budget realities
- Ensure the organization has the resources, policies and systems in place to support its operations, and ensure consistent documentation and training
Human Resources (30%)
- Further develop the HR function of NPH to meet the needs of a growing organization, and maintain policies, procedures, practices and records that are fully aligned with all federal, state and local legal and compliance requirements regarding employment as well as aligned with NPH’s values
- Support supervisors to build collaborative, sustainable and impactful teams that are aligned with the fulfillment of NPH’s mission, values and strategic priorities
- Develop and cultivate a strong and healthy workplace culture that centers equity, prioritizes leadership and professional development, and ensures transparency, accountability, collaboration and proactive problem-solving
- Support the hiring, retention and advancement of a strong staff, set targets for employee onboarding, training and skill development, and oversee compensation and benefits
Financial Management (25%)
- Ensure completion of annual audit and 990 tax filing, including coordinating with external auditor, managing internal organizational functions related to the audit, convening the Audit Committee of the Board, and supporting board review and acceptance of the annual audit
- Oversee financial systems to maintain the financial health of the organization including compliance with GAAP, non-profit requirements and grant requirements and restrictions
- Convene the Finance Committee of the board 5-6 times a year and support them with accurate organizational financial information and analysis, as well as risk management, investment recommendations, and longer-term planning so that they can fulfill their fiduciary responsibilities
- Lead the development of the annual operating budget as well as ongoing budget monitoring, modifications, and revisions with the Executive Director and department leads
- Ensure that financial policies and procedures are updated, current and followed, including the production of timely and accurate financial statements, cash flow reports and record keeping
Organizational Development & Strategy (20%)
- Identify, assess, and inform the Executive Director of internal and external issues that impact the organization, including but not limited to the areas of finance, legal, 501(c)(3) status, and organization culture
- Contribute to NPH’s organizational development priorities, strategic plan implementation and fundraising efforts
- Collectively lead in the creation of a positive and supportive work environment that fosters collaboration, innovation, and creativity
- Coordinate with department directors on organizational goals and manage the planning and monitoring process for yearly work plans
- Assess needs and provide operational support for every department
- Participate in NPH’s signature events and support the team’s fundraising with strategy, outreach and prospecting
Necessary Skills and Qualifications
Please note, we do not expect every applicant to have every skill and qualification listed here. A strong candidate will match at least 80%.
- Experience with Quickbooks Online or industry equivalent
- Knowledge and experience with various HR platforms, Financial and IT systems
- Must be accurate and detail oriented, possess strong organizational and time management skills, and able to prioritize in a complex and fast-paced environment
- Minimum 5-7 years of experience in a similar leadership position at a non-profit organization required
- Demonstrated expertise in nonprofit management, operations, Human Resources and finance is required
- Proactive and takes initiative
- Strong collaboration, leadership and problem-solving skills, and ability to work effectively with senior management and cross-functional teams
- Demonstrated ability to build and lead high-performing teams
- Knowledge of risk management and insurance is required
- Strong and engaging verbal and written communicator who is transparent and direct, and able to motivate and connect with team members
- Strong track record of facilitating progressive organizational change and development within a growing organization
- Tech savvy and experience with Salesforce (or other CRM), Zoom (or other video conferencing platform), Slack, LastPass (or other password manager)
- Must be committed to advancing racial equity; experience in improving organizational systems with a racial equity lens a plus
- Proficiency in Google Suite and MS Office applications
Compensation & Benefits
Salary range is $140,000-$175,000. NPH offers an excellent benefits compensation package including medical and dental insurance, paid vacation, holidays and sick time, a retirement savings plan, and professional development funds.
Work Location and Safety Protocols
This position is partial remote, residence in Northern California is required. NPH staff are currently working in a flexible environment both remotely and in-office (located in downtown San Francisco). We currently do not require any regular in-person time at the office, but that will likely evolve. We do require in-person attendance at annual signature events, staff and board retreats, and other member and program gatherings.
