Job Description

THE ORGANIZATION

TRAILS (Transforming Research into Action to Improve the Lives of Students) is a growing team of innovative thinkers committed to youth mental health. We partner with schools throughout Michigan and in a number of other settings nationwide, providing school staff with the training, materials, and implementation support they need to deliver effective mental health programming to their students. Our program was designed and developed by expert child mental health clinicians in collaboration with health and education researchers, educators, and school leaders. Our model was built specifically for the school setting, and is grounded in evidence-based cognitive behavioral and mindfulness practices. As we work to make effective mental health services available to all students, priority is given to schools that are under-resourced or that serve historically excluded populations. Our staff are dedicated to a vision of health and health care equity for all, and as TRAILS expands, we are seeking individuals who practice cultural humility, and who thrive in and contribute to an inclusive working environment.

TRAILS’ 3-TIERED MODEL

The foundation for the TRAILS clinical program is based on cognitive behavioral therapies, implementation science, and culturally responsible programming. The model is also aligned with the multi-tiered system of supports (MTSS) framework common within the educational setting. Currently, TRAILS equips schools to offer three tiers of programming: Tier 1: Universal Education and Awareness, Social and Emotional Learning Program, Tier 2: Early Intervention, CBT and Mindfulness Skills and Coping with COVID-19 Programs, and Tier 3: Crisis Intervention, Suicide Prevention and Risk Management Program. The main goal for the clinical team is to support the implementation of TRAILS clinical programming by delivering trainings to school staff, developing materials and resources adequate for our partners and the settings in which they work, and providing implementation support (e.g., coaching).

THE ROLE

Working closely with the TRAILS Tier 2 Director of Program Delivery and the TRAILS clinical team, the CBT Program Manager will oversee the implementation, support, and improvement of the TRAILS Tier 2 coaching model. This position will be responsible for ensuring TRAILS coaches are adequately trained and supported, and that TRAILS coaching is delivered with fidelity. The CBT Program Manager will also provide supervision, mentorship, and support to clinical team members responsible for delivering coaching or additional support to school mental health professionals.

THE RESPONSIBILITIES

Project Management and Implementation Support (40%)

  • Collaborate with implementation specialists to improve the pre-implementation phase for school mental health professionals participating in coaching.
  • Supervise and track the implementation of coaching across designated initiatives, attending to fidelity of the coaching model and data collection protocols.
  • Work closely with implementation specialists to coordinate the launch of coaching initiatives, ensuring adequate coach coverage, alignment in messaging to coaches and school professionals, etc.
  • Provide support for coaches, including provision of constructive feedback, continued training, support calls, etc.
  • Maintain relationships with community coaches through personalized communication, outreach, etc.
  • Provide coaching in CBT and Mindfulness to school mental health professionals as needed.
  • Work with communications and web teams to maintain thorough and consistent communication with coaches via newsletters, web announcements, etc.
  • Coordinate with the web team to maintain accurate organization, labeling, and descriptions of all coaching materials on the TRAILS website and work together to generate user-driven approaches to improving the usability of hosted materials.

Program Development and Training (30%)

  • Maintain familiarity with TRAILS Tier 2 CBT & Mindfulness materials through partnership with Tier 2 materials lead, ensuring that coaches receive continued training on key concepts and material updates.
  • Work with other clinical team managers to coordinate additional ongoing coach trainings as needed, ensuring adequate staffing and expertise.
  • Contribute to creation and maintenance of coaching-related SOPs.
  • Maintain current understanding of implementation support trends, innovations, and best practices, with a particular focus on coaching, to inform improvements to the TRAILS coaching model.
  • Work with the clinical and evaluation teams to annually review impact data and assess training efficacy and outcomes. Use this analysis to implement relevant changes to the training process, training materials, and all coaching tools.
  • Work with clinical, communications, and technology innovations teams to plan and execute coaching material revisions, ensuring an up-to-date toolbox for coaches is available on the TRAILS website.
  • Work with Tier 2 clinical directors, implementation specialists, and other TRAILS team members to schedule, plan, and deliver coach protocol trainings, including development and distribution of associated materials.

Personnel Management (20%)

  • Provide mentorship, feedback, and support to team members, including completion of annual performance reviews and reports.
  • Keep Tier 2 Director of Program Delivery informed of team performance and staffing needs.
  • Support the on-boarding of new team members by providing training in TRAILS coaching protocols and related coaching materials.
  • Supervise a team of staff coaches delivering TRAILS coaching, including making coaching assignments and ensuring staff fidelity to the coaching model.
