How you'll help us Keep Climbing (overview & key responsibilities)

The Administrative Assistant will report to the Vice President and Chief Compliance Officer and supports other attorneys across various practice groups; must be able to work independently to perform advanced, diversified and confidential administrative duties. This position requires broad and comprehensive experience, skill and knowledge of Deltas programs, policies and procedures.

Summary of responsibilities (not comprehensive of all tasks):
  • The Administrative Assistant will also file, document and prepare invoices, vouchers, reports, memos, letters, financial statements and other documents.
  • The Administrative Assistant will also be greeting visitors, receiving telephone calls, and preparing responses to correspondence containing routine and sometimes complex inquiries are typical tasks associated with the position.
  • The candidate must act with a high level of professionalism and maintain confidentiality.
  • The candidate must feel comfortable and be flexible, proactive, resourceful and efficient in a fast paced environment, often under pressure.
  • Experience with Diligent Board Books or similar secure document portal, preferred.
  • The candidate will be highly advanced in multitasking and ability to manage multiple and time-sensitive high level projects, with accuracy and speed.
  • The candidate must be well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people and programs.
  • The candidate will have the ability to interact with the office staff (at all levels) with a focus on team cohesion.
  • Excellent written and verbal communication skills, strong decision making ability, and attention to detail are equally important.
  • Knowledge of Ariba contract management tool is preferred.
  • In addition, this person will have the ability to manage and maintain multiple schedules, meetings, handling a high-volume of travel arrangements, travel itineraries and participate in related arrangements.
  • Working knowledge of MS Word, Excel, PowerPoint, Access, Visio and Outlook is required.

What you need to succeed (minimum qualifications)

  • Ability to type a minimum of 60 words per minute.
  • Organizational/leadership skills necessary to develop office procedures, prioritize and schedule work activities of self and others and balance multiple assignments with limited direction.
  • Advanced computer skills in Microsoft Outlook and proficiency in Windows-based applications like Word, PowerPoint and Excel are required.
  • Working knowledge of a Document Management System like NetDocuments, iManage, etc. or shared folder as well as Ariba records contracting tool.
  • Must be detailed to ensure that information is accurate and correct, that documents are grammatically correct and that work is completed in a timely manner.
  • Must be performing satisfactorily in current position.
  • Consistently makes safety and security, of self and others, the priority
  • Proficient with Concur expense system and Legal Tracker eBilling tool.
  • Must have the interpersonal skills necessary to work and partner with others.
  • Where permitted by applicable law, you have received or be willing to receive the COVID-19 vaccine by date of hire to be considered for U.S.-based job, if not currently employed by Delta Air Lines, Inc.

  • Is at least 18 years of age and has authorization to work in the United States.
  • Two years formal training but may substitute for up to two years of experience.
  • High School diploma, GED or High School Equivalency and 5 or more years of prior secretarial experience at successive levels of responsibility required.
  • Ability to coordinate the schedules of multiple aspects of projects completed by separate staff members or vendors is required.
  • Must be team-oriented and able to coordinate activities across multiple departments working closely with administrative assistants in other areas.

  • Maintains a welcoming and professional demeanor.
  • Strong ability to manage a busy calendar and to coordinate to ensure urgent meetings are sheduled in a timely manner.
  • Keen eye toward editing and proofreading draft Board minutes and other legal documents.
  • Financial experience as it relates to budget tracking and analysis is preferred.
  • Knowledge of corporate business processes and procedures such as expense reporting, purchasing and departmental budget preferred.
  • Team player.
  • Experience in law firm or law department preferred.
