Position: Executive Assistant Direct
Supervisor: President & CEO Position
Overview: Answer telephone and respond to email inquiries and provides information to visitors. The Executive Assistant must be a highly skilled administrative professional who provides a wide range of support services to the HMSDC president. This person performs a variety of complex and routine activities that may require access to highly confidential information. Provides administrative services and support to the leadership team as needed.
Job description may include but not limited to:
• Answer phone calls in a polite and professional manner
• Write and edit e-mails, draft memos, and prepare communications on behalf of the President
• Maintain comprehensive and accurate records for the President
• Organize meetings, including scheduling, sending reminders, and organizing catering when necessary
• Welcome visitors and identify the purpose of their visit before directing them to the appropriate department;
• Manage the President’s calendar, including making appointments and prioritizing the most sensitive matters
• Assist staff as needed to complete projects
• Maintain clean and orderly reception and conference areas
• Produce timely reports and prepare presentations/proposals for the President and upon request by members of the leadership team
• Manage agendas/travel arrangements/appointments for President upon request
• Perform a variety of routine clerical tasks as assigned by management.
Qualifications:
• Education: Bachelor's degree preferred •
Experience:
Two-Four years of related experience Critical Skills: • Strong interpersonal, service oriented, and communication skills • Detail-oriented, organized, with excellent time management skills • Motivated self-starter with the ability to perform well with minimal supervision • Critical thinker and problem solver that works well under tight deadlines • Superior focus on professionalism and customer service • Demonstrate mastery of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) • Excellent written and oral communication skills • Service oriented and active listener • Time management and ability to meet deadlines
