Job Summary:

Job Responsibitlies:
- Covers front desk as needed, which includes greeting visitors and candidates.
- Collects and tracks all pre-employment documentation to ensure proper compliance measures are met.
- Manages the interviewing scheduling process, including scheduling and confirming all details related to interviews for recruiters, applicants, and hiring managers.
- Maintains candidate statuses and ensures accuracy within the applicant tracking system.
- Provides reports as needed.
- Proactively troubleshoots issues related to employment clearance and takes appropriate steps to mitigate the issue. Resolves issues in a timely manner.
- Conducts fingerprinting for IDPH and UCIA.
- Establishes and develops solid working relations with hiring managers, recruiters, and applicants.
- Assists with training new staff.
- Responsible for entry, maintenance, and integrity of data in applicant tracking systems.
- Administers pre-employment tests.
- All other duties assigned.
- Assists with recruitment fairs and open houses.
- Generates applicant tracking system reports for various areas, including the Division of Nursing and New Hire Orientation.
- Responsible for all pre-employment activities including initiating background checks, monitoring progress, and providing regular updates to all necessary parties.
- Meets with new hires to execute new hire paperwork including verification of I-9 documentation and license/certification verification (if appropriate).
Required Job Qualifications:
- Exceptional organizational and follow-through skills.
- A minimum of three years' work experience in a busy, fast-paced environment, preferably human resources, customer service, or hospitality.
- Strong customer service skills and experience handling difficult conversations.
- Associate's degree with a minimum of two years or more of prior administrative support experience required OR five years of specific recruitment administrative support experience required.
- Strong sense of urgency, adaptability, flexibility, and resourcefulness.
- Ability to communicate effectively with all types of individuals.
- Ability to handle multiple tasks simultaneously.
- Ability to work independently.
- Proficiency with the Microsoft Office Suite.
Preferred Job Qualifications:
- Experience working with applicant tracking systems preferred.
