About this opportunity...

The HR Operations Specialist is primarily responsible for both leave of absence management responsibilities and HR buying office administrative functions specific to the Los Angeles Buying Office. The Specialist will also serve as the LOA Concierge for the Boston Buying Office remote associates.

The HR Operations Specialist will have a primary responsibility for the LABO specific onboarding, orientation and administrative transactions in PeopleSoft and Service Now. They will also provide back up to the New York Buying Office team and share general HR Operations responsibilities, when needed.

Additional activities may include providing support for policy, process and compliance initiatives for the Associate Director, HR Operations and/or covering HR Connect (tier1 HR-related, transactional requests from the Buying Offices' associates providing guidance on policy interpretation, payroll and benefits), payroll processing and compliance tracking.

The base salary range for this role is $61,400 - $91,850. The base salary range is dependent on factors including, but not limited to, experience, skills, qualifications, relevant education, certifications, seniority, and location. The range listed is just one component of the total compensation package for employees. Other rewards vary by position and location.

Responsibilities...
  • Act as initial point of contact in responding to associate inquiries and requests through the HR Connect inbox and calls. Provide assistance with low to mid-complexity requests and transactions, and triages and escalates more complex inquiries.
  • Manage and report on leaves of absence for the LABO, BBO & remote buying office associates ensuring seamless communication, processing and pay.
  • Assist with compliance follow-up activities.
  • Assist in ad-hoc special and cross-functional projects as needed (e.g. collection of employee feedback).
  • Respond to Unemployment Claims by partnering up with appropriate person of the AR team.
  • Work with Payroll to resolve any paycheck-related issues immediately.
  • Act as liaison between HR and LABO for benefits, payroll, timekeeping, employment verification, etc. Provide guidance on resources available to all LABO associates (e.g. RossLink, WorkNumber, myADP, Employee Self-Service, etc.) Provide backup to NYBO as needed.
  • Support other functions, incl. Corporate and OneHR initiatives, as assigned.
  • Set up electronic personnel files for LABO, BBO & remote associates and file any new and relevant documents in a timely fashion. Support NYBO as needed.
  • Support LABO, BBO & remote associates through the leave claim filing process, including review and explanation of materials, answering questions, and providing guidance.
  • Set up new hires in HR system and process new hire documentation to support the completion of new hire setup procedures (e.g. employment eligibility, facility badge access, payroll notifications, discount cards, welcome emails, etc.) timely and accurately.
  • Maintain associate's personal and job data up to date by processing data changes (e.g. transfers, promotions, etc.) timely and accurately.
  • Coordinate bi-weekly payroll process for all Buying Office Non-exempt and Salaried-with-Overtime Associates ensuring all timesheets are submitted and approved in MyTime system within required timeframe.
  • Coordinate LOA associate's return to work process including access to IT resources (e.g, laptop, systems access) and Mother's Room administration.
  • Coordinate training sessions and seminars in LABO, as well as support effective execution of wellness initiatives and Open Enrollment events.
  • Prepare exit paperwork and coordinate off-boarding processes for LABO, BBO, remote associates HR Business Partners (e.g. submitting request and notifying appropriate parties, monitoring physical assets collection, tracking and filing documentation to support the completion of off-boarding procedures, etc.) timely and accurately. Support NYBO as needed.
  • Support Associate Director, HR Operations with Compliance, Process and Policy initiatives.
  • Provide troubleshooting intervention as needed for LOA cases related to Payroll, Corporate LOA, 3rd Party Leave Administrator and state labor departments on behalf of the associate.

  • Proven ability to build strong relationships and influence others while working in a cross-functional environment. Ability to consult with all levels of management.
  • Outstanding communication skills, both verbal and written, with diverse groups of associates.
  • 3 - 5 years of experience in Human Resources, leave of absence experience a plus
  • Bachelor's degree.
  • Strong knowledge of Microsoft Office platforms and HR systems (i.e. PeopleSoft, Service Now, OnBase, or related).
  • Demonstrated ability to work independently or with a team.
  • Excellent organizational and time management abilities.
  • Ability to handle and prioritize a high volume of time-sensitive responsibilities.
  • Customer service driven.
