Our client is looking for a creative and motivated Sales Operations Coordinator to join our team. This position is critical to our growth strategy. Strategic Imperative


The Sales Operations Coordinator will play a crucial role in accelerating the adoption of EV charging infrastructure across the country by supporting the Sales department during the sales cycle and during project launch. This role will be an integral part of the company's success in effectively selling various company product offerings.


Primary Objective


We are seeking a highly organized and detail-oriented Sales Operations Coordinator to support the sales team by managing and organizing data, generating proposals, and ensuring accurate documentation for successful project execution. Your attention to detail and proficiency in using CRM software will be essential in maintaining accurate and up-to-date project information. Additionally, your ability to collaborate with the sales team and other stakeholders will be vital in facilitating smooth operations.


Detailed Job Duties


Data Management:


  • Organize and enter data into the CRM software to ensure that all project-related information is captured accurately and kept up to date.
  • Maintain a comprehensive and organized database of customer information, project details, and relevant communications.


Proposal Generation


  • Collaborate with the sales team to gather necessary information and tailor proposals to meet specific customer requirements and project scopes
  • Generate detailed and compelling proposals on behalf of the sales team to present to potential clients.


Document Review And Filing


  • Review closed won projects to ensure that all documentation is complete, accurate, and complies with company standards and regulatory requirements.
  • File and maintain project documents systematically to ensure easy access and retrieval when needed.


File Share Management


  • Collaborate with the IT department or external vendors, if necessary, to resolve any technical issues related to the file share service.
  • Manage the file share service specifically for the Sales Team, ensuring that all files are properly organized and accessible.


Layout Map Generation


  • Use appropriate software or tools to create accurate and detailed layout maps based on the site assessment data.
  • Assist the sales team in generating layout maps after conducting site evaluations for EV charging projects.


Sales Team Support


  • Provide support to the sales team in various administrative tasks and help prioritize their activities based on project timelines and deadlines.
  • Act as a liaison between the sales team and other departments to ensure seamless coordination and communication.
  • Assist with site evaluations for potential projects as needed.


Process Improvement


  • Collaborate with team members and management to implement approved process improvements effectively.
  • Identify areas for process improvement within the sales operations workflow and propose solutions to streamline operations and enhance efficiency.


Training And Onboarding


  • Assist in training new team members on the use of CRM software, file share systems, and other sales-related tools.
  • Provide ongoing support and guidance to the sales team regarding best practices for data entry, proposal generation, and document management.


Requirements


The MUST Haves (ex: skills, education, experience, certifications, licenses)


  • Excellent organizational and time management skills to handle multiple tasks and deadlines.
  • Bachelor's degree in Business Administration, Sales or related field.
  • Ability to adapt to a fast-paced and dynamic work environment.
  • Proficiency in using CRM software and file share services.
  • Proven experience in sales operations or administrative support roles.
  • Strong attention to detail and ability to maintain accurate records.
  • Effective communication skills, both written and verbal, to interact with participants and stakeholders.


The Nice to Haves (preferred additional skills, education, experience, certifications, licenses)


  • Proficiency working in Zoho CRM, Smartsheets, Jira and Confluence
  • Familiarity with EV charging systems and site evaluation processes.

  • Sit up to 5 hours per day
  • Ability to travel as required
  • Ability to type on a keyboard and utilize the computer work tools constantly and with proficiency (specifically the MS Office Suite)
  • Ability to receive and offer feedback in a professional and positive manner
  • Physical Ability:
  • Stand up to 5 hours per day
  • Lift, carry, push up to 25 lbs.
