The Role
We are seeking a highly organized and detail-oriented individual to join our team as a Program Manager / Executive Assistant. This role will play a crucial part in supporting the Chief Technology Officer (CTO) while facilitating the execution of operational, technical, and process improvement projects. You will be responsible for defining and maintaining project plans, managing project teams, and facilitating effective collaboration across all functional areas of the organization. Additionally, this role will involve evaluating project effectiveness and capturing lessons learned to drive continuous improvement in associated workflows. Responsibilities
- Define and maintain comprehensive project plans, including project scope, goals, tasks, schedule, required resources, deliverables, and ownership.
- Provide high-level administrative support to the CTO, including calendar management, travel coordination, meeting preparation, and other executive assistant duties as required.
- Act as an advocate and role model for integrating best practices into the organization, ensuring adherence to established project management methodologies.
- Serve as the central point of contact for all interested parties, providing regular project updates, addressing inquiries, and facilitating effective communication.
- Evaluate project effectiveness and efficiency, identifying areas for improvement and implementing corrective actions as needed.
- Manage project teams by ensuring effective communication, coordination, and collaboration among team members.
- Capture and document lessons learned from projects to facilitate continuous improvement and knowledge sharing within the organization.
- Assist the CTO in the execution of Operational and Technical projects, including project development, deployment, integration, and post project follow up.
- Interact and work effectively with stakeholders from various functional areas such as production, quality, safety, IT, finance, sales, HR, and division leaders at all levels of the organization.
Qualifications:
- Excellent communication skills, with the ability to interact and collaborate effectively with individuals at all levels of the organization.
- Strong understanding of project management methodologies and tools.
- Strong problem-solving skills and the ability to adapt to changing priorities and deadlines.
- Exceptional organizational and time management abilities, with a keen attention to detail.
- Proficiency in project management software and tools. E.g. Monday.com, Asana, etc
- Ability to work independently and proactively, taking ownership of projects and driving them to completion.
- Prior experience supporting C-level executives is preferred but not required.
- Proven experience in program management or project management roles, with a track record of successfully delivering projects on time and within budget.
- Bachelor's degree in a relevant field or equivalent work experience.
