Job Summary:
The New Business & Operations Project Manager provides support to Groundswell’s Executive Director and special initiatives from the Executive Team. This is an exciting and critical new role at Groundswell ensuring that institution-wide operational goals are achieved and managing Groundswell’s partnerships with NYC public and private partners to increase impact and cultivate new business to reach revenue targets. They will work closely with and report to the Executive Director and work cross functionally with Groundswell’s staff to support the organization’s mission while playing a critical role in driving project success, supporting business growth, and managing seamless operations within the Executive Team particularly programs and development.
Essential Job Duties and Responsibilities:
- Provide regular updates and follow-up to projects and maintain a positive experience for all stakeholders.
- Maintain professionalism and strict confidentiality with all materials.
- Conduct market research, analysis of industry trends to gather competitive intelligence to contribute to strategic plans and business growth initiatives.
- With guidance of Executive Director, draft executive-level reports, presentations (focused on business proposals and pitches for potential partners and clients), concept notes, briefing documents, and board decks.
- Review contracts and agreements, and support contract negotiation, working closely with Executive Director and legal counsel.
- Maintain or create efficient filing systems for projects in adherence to protocols and best practices.
- Develop project management plans, establish timelines, allocated resources, and monitor timely completion of project deliverables/objectives.
- Lead special projects initiated by the Executive Team such as launching pilot initiatives in new program areas, managing program partner cultivation events, and spearheading internal processes to improve program team operations and workflow such as updating and managing file systems and CRM.
- Manage partnerships with corporate institutions, NYC and NY State govt, real estate entities as well as non-profit, community-based, and local business improvement institutions.
- Cultivate strong internal relationships and foster collaborations while staying aligned to company goals; collaborate with Groundswell teams to gather information and insights.
- Collaborate with Groundswell program, development, and finance teams to identify and pursue new business opportunities.
Required Education, Skills, and Experience:
- Works well with teams; strong interpersonal skills.
- Bachelor’s degree required;
- 5 years' experience in program or operations management
- Self-motivated, suggests and takes initiative to deliver results and meet goals; strategic thinking, problem-solving, process-oriented.
- Excellent research and editing; attention to detail.
- Strong background in Microsoft Office suite (Powerpoint, Word, Outlook, Excel, Teams) as well as Zoom and productivity tools for calendar and document management.
- Commitment to social justice, equity, and inclusion; dedication to social impact
- Exceptional and versatile writing skills with ability to write for different audiences; strong verbal communication and presentation skills.
- Outstanding project/time management, budget management, auditing, confidentiality, prioritization, and organizational skills to multitask on tight timelines; capacity to work independently to meet deadlines and work cross-functionally with Groundswell staff.
Preferred Education, Skills, and Experience (not required):
- Experience in youth-centered, community-based, education and/or creative and public arts sector
- Master's degree in business administration, public policy, legal studies or related equivalent
- Knowledge of public policy and/or experience working with NYC public institutions
- Experience working with public & private grants; working experience with reviewing and negotiating agreements and contracts.
- Executive support
- Experience with business development, concept development, and pitching to new clients.
- Experience managing or supporting corporate partnerships.
Physical Requirements and Working Conditions:
- The employee is required to actively listen and communicate clearly.
- The employee is required to sit and stand.
- Ability to commute as needed throughout NYCs five boroughs on public transit.
- Ability to operate a computer keyboard and mouse is required.
