Overview: This role entails responsibility and superior logistical management over the entire scope of medical education programs and the coordination and submission of educational grants of each assigned account. Account duties, in short, include collaboration with both internal and external account team members, detailed organization, development and tracking of agreements and applications, specifications, deadlines, and overall fulfillment using the highest level of professionalism, efficiency, and customer service. This position requires the individual to interact and logistically guide clients, stakeholders, vendors, and internal teams to ensure successful delivery of assets throughout the annual cycle for each assigned account.
The Manager, Medical Education Programs will report directly to the Director of Sponsorships & Event Marketing of A. Fassano & Company. This individual will act as an integral part of the holistic team and for a number of specified conference-centric accounts. Working closely with association clients across multiple departments and directly with their industry stakeholders (exhibitors/supporters) and vendors, he/she will execute client services and related logistics pre, during, and post-event.
Duties of the Manager, Medical Education Programs may include:
Satellite Symposia Management
- Collecting and tracking fulfillment content for related conference promotional materials
- Onsite logistic management of satellite symposia including onsite signage, room set, onsite registration check-in, and ensuring overall event success
- Cultivating and maintaining relationships with medical device and pharmaceutical industry contacts
- Close attention to detail in reviewing submissions for missing information and grammatical errors and attaining necessary updates
- Delivery of thorough and informative calls and emails to educate and promote satellite symposia and grant opportunities
- Compiling outcomes reports
- Collaborating with education program faculty or satellite symposia organizers to collect content (program details, disclosures, slides, etc.)
- Coordinating with clients and our sister company, Blackwood CME, in the creation, implementation, and processing of satellite symposia application and guidelines documents, MOUs, confirmations, and logistical fulfillment information
- Contracting and coordinating venues and vendors to include event space, catering, and audio visual
- Distributing, tracking, and following up on agreements and invoices
- Managing online attendee registration
Educational Grant Management
- Coordinating with clients and our sister company, Blackwood CME, in submitting grant applications for medical/scientific education activities for healthcare professionals and patients
- Keeping grant application tracking spreadsheets with related details up to date
- Following up with clients and our sister company, Blackwood CME, as needed to obtain information for grant applications and reconciliations
General Management
- Collaborate on the development of evaluations and surveys to better understand market trends, focus areas, and enhance existing benefits and packages
- Gather, develop, and deliver post-show analytics and reports
- Review vendor invoices to ensure accuracy post-event
- Monitor and evaluate performance metrics and quality control
- Other duties as directed by AFCo senior management
- Archive information in a detailed organizational manner and in accordance with department policies
The ideal candidate will possess the following:
- Previous experience working with a medical association or medical education company, a plus
- Excellent writing and verbal skills with the utmost attention to grammatical detail
- Ability to maintain a home office
- Ability to meet deadlines, while demonstrating accuracy and attention to detail and quality
- Creative thinker with strategic mindset and ability to generate new ideas, troubleshoot issues, and solve problems
- Ability to maintain electronic files for tracking grant applications
- A minimum of 2-3 years developing and managing event logistics for medical education satellite symposia and/or coordinated educational events
- Previous experience preparing, submitting, and reconciling grant applications for continuing medical education (CME) activities
- Ability to communicate effectively with staff colleagues and client contacts
- Ability to maintain electronic files for tracking all program and logistical details for satellite symposia programs
- Familiarity with Accreditation Council for Continuing Medical Education (ACCME) Standards for Integrity and Independence in Accredited Continuing Education
- Travel, as needed, for venue site visits, pre-planning meetings, and onsite conference management
- Proficiency with Microsoft 365 suite of apps and services, as well as the aptitude to learn and work in association clients’ CMS/LMS systems and other software interfaces; familiarity with Salesforce a plus
- Some evenings and weekends will be required based on individual conference needs both from home office and travel to other cities/sites for virtual and live meetings
- A minimum of 2-3 years presenting to and building relationships with C-level and marketing executives at medical device and pharmaceutical companies
- Ability to handle multiple simultaneous projects with attention to detail
