If you enjoy working with team members whose defining characteristics are achievement, initiative, professionalism, responsiveness, and adaptability, you may be the person we are seeking to join our Human Resources department in our Charlotte office as the Human Resources Specialist.
The Human Resources Specialist works with the Charlotte HR Manager and the Student Recruitment Manager – U.S. to provide specialist-level support for HR matters in the Charlotte office which includes onboarding, integration, retention initiatives, diversity initiatives, summer associate program and general HR transactions.
Responsibilities
Essential Functions:
RECRUITMENT
- Manage LawCruit database procedures for applicant tracking of student hires; candidate file maintenance; hiring statistics
- Work with Practice Leaders, Hiring Partners and Office Managing Partner on all attorney student recruitment initiatives and on diverse law student outreach initiatives
- Summer Program: Manage the effective implementation of the Summer Program (plan and coordinate events; lead orientation program; manage work assignment and performance feedback processes; handle new hire onboarding process and exit process; coordinate offer decision)
HUMAN RESOURCES
- Manages business services staff attendance record process and year-end attendance reconciliation
- Provides support for HR projects and initiatives
- Processes HR Department invoices
- Prepares paperwork as needed for business services workflow processes for new hires, status changes, retirements, etc. and submits to Payroll for processing
- Responsible for audit and monitoring of PeopleSoft data on Charlotte attorneys and staff
- Prepares new hire paperwork, conflicts clearance, moving expenses, work authorization visas and new hire orientation schedules; works with all departments involved to ensure all pre-employment set-ups are handled
- Addresses HR related inquiries
- Manage attorney compliance with state bar admission
- Initiate and participate in attorney retention initiatives for attorney integration and mentoring programs, attorney dinners/functions/panels, etc.
- Performs other duties as assigned or required to meet firm goals
- Assists the HR Manager in the administration of the short-term, long-term disability and Worker's Compensation programs locally for all business services staff and lawyers
- Coordinate human resources issues such as employment verifications, personnel file records, office transfers, secondments, etc. for Business Services and lawyers
- Creates and maintains personnel files and other record-keeping for all support staff in accordance with state and federal guidelines
- Prepares/maintains office headcount, attorney arrival/departure chart and related reporting
DEVELOPMENT
- Manage CLE requirements and state bar dues payments, in coordination with Attorney Personnel and CLE Coordinator
- Assists with coordination and scheduling of the performance appraisal process for lawyers
- Coordinates on-boarding process for all attorney new hires.
- Coordinates on-boarding process for fall associate class including extranet site, collection and tracking of information and paperwork, reimbursement for bar exam fees and relocation expenses, face book, fielding questions; assists with coordination of orientation materials and first year training lunches.
- Manages Charlotte transactional fellows program
Qualifications
Education/Training/Certifications:
- Bachelor’s degree in a related field. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job
- 3 years+ of experience in the Legal Recruitment or Development industry; at a private sector law firm preferred
Technical Skills:
- Proficiency in Microsoft Office products
- Knowledge of software tools such as PeopleSoft, CE Manager, LawCruit a plus; experience with similar database tools for applicant tracking, continuing education tracking, HR information a plus; proficiency with MS Office Suite applications including Excel, Word and Outlook required.
- Proficiency in virtual platforms such as WebEx and Zoom

- Ability to work in a diverse team environment and effectively support the demanding needs of the Firm

- May require occasional lifting of up to 20 lbs
