Summary
The administrative assistant provides support for the Office of Career & Professional Development, including managing workflow, responding to requests for information, answering incoming calls, assisting students and assuming other receptionist duties when needed.
Essential Functions:
Communication and Reception
  • Handle confidential information in a sensitive manner
  • Generate phone messages and respond to emails
  • Assist students with use of office copy/fax machine
  • Greet students and other visitors to office, assist with check-in process
Office Functions
  • Answer office phone calls and forward callers to the appropriate party
  • Receive, sort, and distribute mail
  • Maintain office supply inventory by checking stock to determine inventory level; anticipate needed supplies; place and expedite orders for supplies, verify receipt of supplies
Information Management and Data Assistance
  • Manage multiple tasks and assure steady completion of workload in a timely manner
  • Assist with entering job postings into Symplicity
  • Assist with data management and other projects as assigned
Tracking and Scheduling
  • Assist with documentation and tracking of expenses for annual budget
  • Reserve classroom space and coordinate food orders for OCPD events; assist with event set up
  • Reconcile and submit expense reports for OCPD staff
  • Maintain OCPD resource materials
Other Functions:
  • May perform additional or other work as assigned
Required Education, Knowledge, Skills, Abilities:
  • Proficiency in MS Office with expertise in Microsoft Word and Excel
  • Excellent computer and technical skills, familiarity with Google Workspace tools
  • Bachelor or Associate degree
  • A professional demeanor toward all visitors, students, staff, faculty, and alumni
