Job Description
CONTRACT-TO-HIRE: Administrative Assistant 9106


Our client, located in Dallas, is looking for an Administrative Assistant to join their team on a contract-to-hire basis.


Key Qualifications


  • Must be a great representative of the firm, as this is the first face guests and clients see upon arrival.
  • Must be skilled at managing multiple calendars, assisting executives, arranging travel, and processing expense reports.
  • Willing to answer the phones, greet guests, manage the office supplies, and ensure the cleanliness of the common areas.
  • Must have strong communication skills.
  • Must have ample experience with Microsoft Suites.
  • Experience with Concur and/or Yardi is a bonus.


Duties


  • Event planning and implementation for the Dallas office
  • Maintain kitchens/lounges throughout the day to ensure items are adequately stocked, dishwasher is ran and unloaded, and areas are kept tidy.
  • Provide reception services for the office: answering phones, managing visitor list, and registering and greeting guests in a friendly and efficient manner.
  • Monitoring and maintaining of the office supply and kitchens/lounges inventory.
  • Invoice coding and other duties as related.
  • Coordinate or assist with organizing breakfasts/lunches/meetings as needed
  • Ensures office is ready to go on a daily basis for team members and guests. This may include distribution of papers and preparation of coffee.
  • Coordinate office maintenance and repair of office equipment as needed, i.e., building maintenance for heating/cooling needs, printer maintenance, Wi-Fi service
  • Perform office duties to include: receiving and distributing mail; coordinating of outgoing USPS, FedEx and UPS shipments.
