Job Description
Primary Function
The Administrative Assistant provides direct support to the Columbus Symphony leadership team and performs day-to-day office administration tasks.
Additional Information: This is a full-time hourly position, employed by the Columbus Association for the Performing Arts (CAPA), but dedicated 100% to the Columbus Symphony. The selected candidate will be eligible for CAPA's full benefits package, including Medical, Dental, and Vision insurance, a $50,000 company-paid life insurance policy, AD&D/STD/LTD, Employee Assistance Program, eligibility to participate in a 403(b) retirement plan with up to 5% company match after 6 months which is immediately vested, subsidized parking at the Columbus Commons Parking Garage and/or a free COTA C-Pass, and access to complimentary tickets to shows.
Duties And Responsibilities
Executive Assistance
  • Maintains contact lists.
  • Screens communications for action items and due dates, bringing key items to the Executive Director or leadership staff's attention; Initiates necessary actions (e.g., follow-ups, prioritizations, action required, etc.).
  • Coordinates activities between departments as needed.
  • Submits expense reports.
  • Takes minutes and updates documents as needed for the Board of Trustees.
  • Supports the functioning of the senior management team through coordinating calendars, planning and scheduling appointments, preparing agendas, submitting paperwork, and coordinating travel.
  • Performs additional duties as assigned.
Office Management
  • Coordinates schedules for major holidays and office closures.
  • Provides general support to visitors. Reserves meeting room space and orders necessary food/beverages.
  • Serves as the liaison to the CBRE Building Management.
  • Assists senior leadership team with onboarding of employees.
  • Ensures operation of equipment by completing preventive maintenance requirements and calling for repairs.
  • Reads, researches, and routes CSO mail and email correspondence; drafts letters and documents; collects and analyzes information.
  • Maintains supplies for the department by monitoring inventory levels, anticipating supply needs, and placing and expediting orders when needed.
  • Maintains filing system and supports day-to-day administrative tasks including copying, scanning, and archiving, packet preparation, etc.
Stakeholder Engagement
  • Integrates volunteer fundraising efforts with CSO development initiatives when applicable.
  • Acts as Symphony liaison for auxiliary/volunteer groups fundraising and outreach.
  • Serves as the staff contact for Friends of the Columbus Symphony and Columbus Symphony League.
  • Works with communications and marketing departments to promote volunteer organization activity.
Knowledge, Skills, and Abilities
  • Attention to accuracy and detail on all levels required.
  • Knowledge of office procedures and methods including telephone communications, office systems, and record keeping.
  • Must be able to maintain confidentiality and professionalism.
  • Maintain confidentiality in communications, office files, and records.
  • Excellent verbal and written communication skills.
  • Must have strong administrative writing, scheduling, meeting management, and organizational skills.
  • Regularly and consistently demonstrates the Columbus Symphony values.
  • Ability to prioritize and handle multiple projects.
  • Advanced computer skills required, including experience with Microsoft Outlook, Word, Excel, and PowerPoint.
Credentials and Experience
  • Bachelor’s degree required, preferably in a related field.
  • Prior work experience in the arts or non-profit organization preferred.
  • Must be able to work a flexible schedule to accommodate the needs of the organization.
