Rea & Associates, CPA's and business consultants, is a Top 100 Accounting Firm. We are looking for a qualified Administrative Assistant to join our team in Medina, Ohio. The Administrative Assistant supports our management team with the billing process/reporting and assists with the tax return assembly process.


Responsibilities


  • Performing administrative duties such as filing, copying, faxing, and scanning 
  • Proofreading of Financial Statements and Valuation Reports. 
  • Receiving and sorting daily mail as needed 
  • Assists with preparing monthly billing for the region. 
  • Process and assembly of tax returns. 
  • Back up for assisting with visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
  • Maintains calendars and assists with time and expense entry for assigned Partners and other members of management  
  • Maintains and inputs client information in the various software programs including CRM, Star, etc. 
  • Other administrative duties on an as needed basis.
  • Answering screening and forwarding incoming phone calls 
  • Coordinates travel, meeting and conference call arrangements for assigned management, including coordination of rooms, technical resources and catering
  • Ordering office supplies and keeping inventory of stock as needed
  • Forwards payable information to our corporate office. 
  • Assisting internal staff with administrative needs 
  • Formats and corrects Financial Statements and Valuation Reports. 
  • Required overtime during high volume periods. Cross trained in other administrative roles. 


Requirements


  • Ability to work well in a team environment. 
  • Working knowledge of Microsoft Office applications (Outlook, Word, Excel and PowerPoint) and Adobe Acrobat including the design and format of documents and worksheets. 
  • High school diploma or equivalent. 
  • Exceptional customer service skills 
  • Professional attitude and appearance 
  • Ability to find the underlying cause of errors and assist with resolving those issues. 
  • Excellent verbal and written communication skills.  
  • Ability to multitask and work under pressure. 
  • Hands-on experience with office equipment (e.g. fax machines and printers) 
  • Strong organization and prioritization skills. 
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • 3-5 years of experience in a professional office environment. Prior experience in a CPA firm a plus 
  • Ability to be resourceful and proactive when issues arise
