Accounting Specialist - Payroll

Ortho2, a leading provider of cloud-based, orthodontic practice management software, is looking for an entry level Accounting Specialist/Payroll, who is able to work independently as well as with others to complete bi-weekly payroll processing, while also assisting with other general accounting services and order processing for Ortho2. This position is 100% remote.

Essential Duties And Responsibilities

• Run and analyze Time and Attendance Reports, verifying timesheets, Payroll Reports, Deduction Reports to ensure data integrity and accuracy. Conduct final payroll inspection to find any errors prior to payroll run.
• Process bi-weekly payroll, quarterly bonus payrolls, and calculate monthly commissions in a timely manner.
• Prepare and post monthly payroll accrual and work closely with our payroll vendor to prepare and file taxes, as well as process and review our annual W2’s
• Perform special payroll related calculations such as but not limited to, retroactive payments, overpayment, and payroll advances.
• Maintain the payroll portion of our payroll software, accounting software database, and our customer database as needed.
• Manage registration for all new states when we hire new employees. Research and apply information concerning all payroll taxes, payroll/employment laws specific to new state and ensure Workforce Go, our payroll software, is set up to handle all aspects for that state.
• Assist with other general accounting tasks such as, but not limited to, accounts receivable, order processing, sales tax and month end.
• Prepare and post bi-weekly payroll journal entry to accounting system.
• Research payroll, garnishments, tax inquiries for our employees, managers, and business partners.
• Maintain compliance within payroll to ensure audit integrity.

EDUCATIONAL AND EXPERIENCE REQUIREMENTS:

• Experience with, Salesforce, Sage 300, and Avalara are a plus, but not required.
• Experience with Microsoft Word and Excel.
• 2+ years of prior accounting and payroll administration experience.
• Comfortable with maintaining a payroll software system, we currently use Workforce Go.
• Work in cooperation with other team members and members of other Ortho2 teams in order to meet or exceed expectations.
• Must be extremely detail oriented with the ability to multitask multiple daily duties while meeting longer term goals.
• Proficient understanding of basic accounting principles, including payroll, payroll taxes and GL reconciliation.
