Ceres’ Finance department is responsible for financial reporting and allocation that allows Ceres to pursue its mission. This includes providing actionable data and strategic analysis for financial decision making, ensuring financial transparency through internal and external reporting, and protecting the organization’s financial assets by mitigating risks through internal controls, policies, and procedures.
About the Role
The Payroll and Accounting Manager is a key member of the Finance team in its efforts to support the organization’s program activities. This is an opportunity for a trustworthy and energetic individual eager to be in the middle of the financial workings of Ceres and grow professionally. The Payroll and Accounting Manager will be responsible for the bi-weekly payroll, billing and processing member dues and sponsorships and monthly reconciliations. The Payroll and Accounting Manager will report to the Controller. This role is a full-time position that may work remotely or in the Boston, MA office or San Francisco, CA office. Candidates must be flexible to work with employees in all US time zones.

The Payroll and Accounting Manager will be responsible for the bi-weekly payroll, billing and processing member dues and sponsorships and monthly reconciliations. The Payroll and Accounting Manager will report to the Controller. This role is a full-time position that may work remotely or in the Boston, MA office or San Francisco, CA office. Primary responsibilities include:
- Fill out grant applications for member dues payments
- Upload employee stipend transactions from Compt system into Intacct.
- Assist in the annual budget process
- Backup for Accounts Payable, Employee Expense and Cash Receipts duties of Staff Accountant
- Complete monthly reconciliations of bank and investment accounts
- Upload payroll journal entry into accounting software and create monthly payroll accrual entries
- Assist the Controller in gathering information and preparing schedules for the annual audit
- Monthly detailed analysis of payroll expense to budget
- Engage in special projects as time permits
- Invoice sponsorships for events using Salesforce and Intacct accounting software
- Invoice annual membership dues for the Policy, Investor and Company Networks using Salesforce and Intacct accounting software
- Other duties as assigned
- Maintain schedule of deferred revenue, prepaid assets and fixed assets/depreciation
- Coordinate benefit transactions and reconciliations with HR department as needed
- Follow up as needed to collect unpaid membership dues
- Process bi-weekly payroll for Ceres staff using Paycor system
- Assure Paycor payroll system data is accurate and properly maintained, including transaction allocations within the accounting system
Qualifications
- Interest and willingness to be trained on data systems and tools for necessary work
- Proficient with both Microsoft Office
- Bachelor's degree or commensurate experience
- Interest in being part of a diverse workforce and willingness to support Ceres’ Commitment to Inclusion and Equity
- Payroll experience required
- Abacus Expense or other expense management systems experience is a plus
- Knowledge of generally accepted accounting principles and internal controls
- Proficiency with accounting software systems. Experience with Intacct is a plus
- Discretion in working with confidential information
- Experience with Salesforce, is a plus
- Interest in climate and sustainability issues, preferred
- Good oral and written communication skills
- Minimum of five years of relevant work experience, required
- Ability to work both independently and as part of a team, in a fast-paced environment.
- Ability to evaluate workload and prioritize multiple tasks in order to meet deadlines projects
- Well organized and detail oriented
Compensation and Benefits
The hiring salary range for this position is $80,000 to $85,000.
