Role Summary:

The Sr. Leadership Administrative Partner will be responsible for providing administrative and leadership support to the Chief Sustainability Officer (who also serves as President and Trustee of the Rivian Foundation). More than that, the Sr. Leadership Administrative Partner will become the right hand of the Executive, working closely to ensure efficiency and productivity.

This position will be responsible for performing several administrative duties including, but not limited to, organizing and coordinating schedules, meetings, travel, expenses, department leadership meetings, board of directors’ meetings, external meetings, speaking engagements, etc. The position will also be responsible for working with the Chief Sustainability Officer and department leadership on the overarching calendar, content, tracking cross department initiatives and general objectives for the Chief Sustainability Officer. The Sr. Leadership Administrative Partner will possess excellent written and verbal communication skills, exercise mature and professional judgment, ability to operate at a senior level with confidentiality and discretion, experience working with senior executive management and outside board members and have outstanding time management skills. This position may require work outside of normal business hours.

THIS IS WHAT YOU’LL DO:
  • Reports - any type of weekly, bi-weekly or monthly reports
  • Maintains strict level of complete confidentiality with a high volume of confidential information
  • Handles internal/external correspondence.
  • Support department leadership team’s calendar needs
  • Leading a high volume and complex calendar
  • Assisting with onboarding for new employees (scheduling introductions, week 1 agenda, supplies, IT equipment, badge)
  • Coordinate CSO’s participation in high-level external initiatives and meetings, including liaising with external high-level offices, preparing and organizing briefing materials, and anticipating needs of the CSO before, during and after these engagements.
  • Expenses - enter and own all expense reporting
  • Organize and prepare agendas and materials, including coordination with leadership team
  • Travel - book travel (airfare, hotel, car rental, train), both domestic and international
  • Organizes and maintains file systems, correspondence, contacts, and other records (paper and electronic as required).
  • Taking the notes with distilling insights/take aways and some filtering in mind, still relies on having support and review
  • Event and leadership meeting content and coordination - help plan/execute on offsite events, leadership retreats, team building events, all hands, impromptu working session
  • Requisitions within Coupa - enter all req requests for the team and own the process from start to finish, including invoicing


THIS IS WHAT YOU’LL NEED:
  • 6+ years of experience in an administrative role preferably in the tech industry and supporting senior leaders in the sustainability space
  • Bachelor’s degree or equivalent experience required
  • Positive attitude and strong business acumen;
  • Advanced Microsoft Office skills, with an ability to become familiar with Company and/or task specific programs and software;
  • Ability to familiarize yourself with content, people and processes, for quick recall and recommendations
  • Highly organized and able to prioritize under pressure;
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities;
  • Team player
  • Ability to multi-task in a fast-paced environment and anticipate last minute changes
Pay Disclosure:

Salary range for Irvine, CA based applicants: $104,000 - $120,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law)
