We are seeking an Executive Administrative Assistant supporting senior executives in the sales organization. This position requires a tenacious self-starter with at least 5 years of experience in an executive assistant role within a multifaceted high tech environment.

You problem tackle creatively to complete sophisticated assignments

You have prioritized multiple deadlines, schedules, planned meetings and are accustomed to supporting executives with very fast paced schedules

Calm and confident during high stress situations, experienced in handling confidential and sensitive materials with discretion

You are knowledgeable and have built and/or supported presentation development for senior management

You have experience with a Mac, as well as with Keynote, Numbers, Pages, Excel, Word, and other efficiency tools

Your responsibilities are to support and assist two Senior leaders with their administrative tasks along with their team You will be responsible for helping to keep the sales organization on track through weekly, monthly and quarterly activities and landmarks demonstrating internal tools for project management and collaboration You will have responsibilities for running calendars, scheduling meetings, prioritizing sophisticated domestic and international travel As an Executive Admin you are tasked with ongoing projects to complete; including event planning, new hire set-up, initiating purchase requisitions, processing expense reports, catering requests, invoices submitting facilities requests, ordering office supplies and equipment You work autonomously, take initiative, and complete tasks you are responsible for You are creative, thoughtful, take problems and dissect it for solutions, better yet, you can foresee it coming and are three steps ahead You are calm under pressure, have a sense of humor and flexible with a diverse set of personalities We seek someone inventive and able to prioritize projects in a fast changing environment Ensuring contractors and consultants have all of their documentation processed in a timely manner will fall under your care

Requisition Summary


Provide executive administrative and project support to the President of PACCAR Leasing and other Senior Leaders, including all communications, screening/responding to inquiries, coordinating meetings, answering Department phones, making travel arrangements, auditing systems, and other administrative duties as assigned. This position reports to the President of PACCAR Leasing.

Job Functions / Responsibilities


Work with senior leaders to manage tasks, distribute reports and maximize efficiency.

Create and edit senior management presentations utilizing PowerPoint.

Answer phones, open and distribute mail, and all other administrative duties.

Performs audits for corporate credit cards, supplies and phones.

Manage the employee engagement programs for PACCAR Leasing

Manage office/cubicle floor plan process.

Maintain distribution lists, SharePoint sites and file management.

Coordinate frequent travel arrangements both domestic and international and submit expense reports.

Schedule on-site and off-site meetings.

Collaborate with division employees, Corporate team and other executive support team members.

Any and all other duties as assigned by President.


Qualifications and Skills


Highly developed organizational, planning and interpersonal skills, detail-oriented and effective communicator.

Ability to maintain a professional attitude while working under strict deadlines.

Aptitude for organizing large, detailed projects requiring follow-up and independent direction.

Proficiency in Word, Excel, Visio, SharePoint and Outlook.

Strong PowerPoint skills.

Demonstrated ability to work with confidential information.

Ability to interact with all levels of employees including senior management.

High school diploma or GED required.

College degree highly desirable.

Compensation:


$60,000 - $85,000 yearly


Responsibilities:


WHAT YOU'LL BE DOING?


This position is full-time and can be performed remotely in countries specified

Provide day-to-day support to team members including complex and dynamic calendar management for internal and external meetings, managing international and complex travel arrangements, and timely completion of expense reports

Prepare expense reports and purchase requisitions

Assist in the preparation of presentations and all-hands meetings

Coordinate detailed logistics and manage communication traffic for events

Maintain SWAG inventory for Design Engineering Construction teams

Coordinate internal and external meetings for multiple executives/teams

Coordinate agenda and follow up on action items

Plan and organize events such as Offsites, Happy Hours, client/vendor events

Build cross-functional relationships with key partners in other departments


Qualifications:

The ideal candidate will have exceptional communication skills and will have the ability to partner closely with Infrastructure and other cross-functional teams

This person should be process-focused, highly organized, energetic, detail-oriented, a problem-solver, and exhibit sound judgment

2+ years of experience providing administrative support to 1 or more executives

Experience in calendar management

Must be a detailed-orientated individual
