Job Description

Under general supervision, the Human Resources Coordinator, a part of our People & Organization (P&O) team, facilitates critical human resource processes for the Corporate Group and helps P&O Business Partners. The P&O Coordinator performs a wide range of duties within a framework set by the HR department to include confidential data requests, reporting, and operational, administrative, and project support. This role is a great opportunity for someone passionate about furthering their HR career and gaining more in-depth knowledge about HR policies and practices in the entertainment industry.

RESPONSIBILITIES:

  • Manage updating Corporate P&O SharePoint site
  • Maintain comprehensive knowledge of HR systems, programs, plans, policies, and processes
  • Assist with the creation of spreadsheets in Excel, may include pivot tables and VLOOKUP for analysis
  • Create and maintain org charts for team using Visio/PowerPoint
  • Provide calendar support to the BPs for project work as needed
  • Coordinate with the Talent Acquisition team to assign recruiters to open roles on weekly basis.
  • Provide project support to the P&O business partners across different HR functions, including recruitment, compensation, learning and development & DE&I
  • Manage and update reporting, including job requisition reports by subdivision; reporting on annual cyclical processes (such as talent and compensation planning) and provide additional ad hoc reporting support to gather and analyze data (e.g., compensation, headcount, contract end dates, anniversaries, etc.)
  • Compile and share agenda items for recurring meetings
  • Partner with HRIS on supporting tools/systems and troubleshooting issues
  • Analyze survey data and distribute metrics to P&O BPs on an as needed basis
  • Maintain open job requisition report.
  • Manage and process timely employee data changes, including promotions, supervisor changes, terminations, contract submissions, compensation requests, and opening job requisitions
  • Identify opportunities to improve and streamline HR administrative processes
  • Develop Excel reports and communication materials for Salary Review
  • Manage the creation process of intern and trainee positions as well as nominations for all learning programs
  • Build and verify distribution lists for internal communications

Support for SVP, P&O:

  • Meeting coordination - booking conference rooms/meeting preparation/catering if necessary
  • Coordinating bi-weekly staff meetings – booking conference room/setting up conference dial-in/managing guest speakers/taking notes with action items
  • Create, edit, and update documents or letters using MS Word, Excel, and PowerPoint – formatting, etc.
  • Processing expense reports and invoices
  • Other general administrative duties as necessary (processing mail, copying, filing, etc.)
  • Handling travel arrangements – booking flight, hotel, grounding transportation, etc.
  • Managing SVP, P&O’s calendar and monitoring office phone

Support for VP, P&O:

  • Handling travel arrangements – booking flight, hotel, grounding transportation, etc.
  • Scheduling meetings involving multiple attendees
  • Processing expense reports

QUALIFICATIONS:

  • Intermediate (at a minimum) knowledge of Microsoft Outlook, Excel, Word, and PowerPoint
  • Strong ethics and integrity, including the ability to maintain the highest degree of confidentiality and handle sensitive information and materials
  • Must have 2 years’ of experience as a Human Resources Coordinator or in a similar Human Resources support capacity
  • Bachelor’s degree in Human Resources or similar
  • Basic project management skills
  • Excellent written and verbal communication skills
  • Exceptional organizational skills with the ability to work on multiple tasks simultaneously
  • High comfort level in a fast-paced, high-volume creative work environment
  • Ability to analyze data and provide key takeaways to inform strategy
  • Demonstrated ability to prioritize and meet deadlines
  • Positive attitude and the ability to be proactive, resourceful, and flexible
  • Detail-oriented and excellent follow-through skills

The anticipated base salary for this position is $26.00 to 31.00. This role may also qualify for annual incentive and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
