Job Description
Job Summary
The Human Resources Assistant will provide entry level support of all functional areas of human resources including employee relations, organization development, records, benefits, leave, recruitment, employment, and compensation.

Typical duties may include but are not limited to:
  • Assists with updating and maintaining the department’s web page.
  • Coordinates travel arrangements, makes reservations, and processes reimbursements.
  • Provides support to functional teams and department on special projects.
  • Supports onboarding of new human resources office hires, interns, and/or temporary employees. Serves as Authorized Account Requestor to set up phone extensions, shared email accounts, shared files, and prepares offices for new employees.
  • Maintains a current documentation library of forms, job aids, training materials, handbooks, procedural guidelines, etc. consistent with department and university brand standards.
  • Maintains office supply inventory, interacts with vendors, or serves as unit contact for space, equipment or facility issues.
  • Answers frequently asked questions from applicants and employees relative to standard policies, processes, etc. Refers more complex questions to appropriate subject matter expert.
  • Assists with data entry of HCM transactions in HRIS.
  • Supports general office and administrative functions, processes expenditures, and assists with reporting.
  • Provides back up to front desk.
  • Assists with preparation of annual university service awards.
  • Supports functional teams during peak periods.
  • Assists with planning and execution of special events such as the annual benefits fair, team meetings, team building events, training, interviews, or other events as needed.

  • Performs other job-related duties as assigned.
Additional
Required Qualifications :
  • Two years of relevant full-time experience providing administrative support.
  • High school diploma or equivalent
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, PowerPoint, Teams and Outlook).
Preferred Qualifications :
  • Associates degree from an accredited institution.
  • Experience in a human resources.
  • Experience and proficiency with Workday, Visio, DocuSign.
  • Experience producing technical documents such as job aids, user manuals, or procedure guidelines.
Knowledge, Skills & Abilities
  • Ability to work collaboratively and professionally with a diverse group of university faculty, staff, students, and the general public.
  • Ability to think critically and creatively, have a high standard of integrity, and be motivated to incorporate best practices into the organizational structure.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to maintain confidentiality and discretion at all times.
  • Excellent interpersonal, verbal, and written communication skills.
  • Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes equity and inclusion.
  • Ability to take initiative to plan, organize, coordinate and perform work in various situations when numerous and diverse demands are involved.
  • Strong organizational skills and an ability to prioritize and complete simultaneous projects within deadlines.
  • Knowledge of basic human resources concepts and employment laws.
  • Ability to interpret and apply laws, regulations, policies and procedures consistently.
