Our company has an immediate opening for anAdministrative Assistant. This position will provide daily office and technical support for our Utica office, and support for our other office locations as needed. Our small-office environment is perfect for the individual who enjoys working within a collaborative team on a wide variety of tasks and projects. We are seeking a committed, detail-oriented individual who will be able to utilize their knowledge and experience for our clients’ immediate and future projects.
RESPONSIBILITIES- Maintain day-to-day office activities by assisting with a variety of general administrative tasks, including, but not limited to: purchasing office supplies, scanning and inventorying project files, travel arrangements, and expense reports.
- Compose, proof, edit, format, and compile documents, including, but not limited to: correspondence, reports, proposals, and materials for publications and presentations.
- Address and distribute incoming communications.
- Schedule and coordinate client and company meetings, office events, and volunteer activities.
- Assist with basic IT and MS Office support as well as routine maintenance/troubleshooting for office equipment including computers, printers, etc.
- Develop a working knowledge of the industry’s technical jargon, our company’s capabilities, history, employee skillsets, and project experience to assist with proposal development.
- Other miscellaneous tasks/projects to assist staff as needed.
REQUIRED:
- Ability to work independently while staying productive and organized.
- Excellent oral and written communication skills.
- Advanced writing and editing skills, including technical writing
- Strong interpersonal and interaction skills necessary to work with and coordinate among approx. 50 employees of different technical abilities and backgrounds.
- Strong aptitude for computers and ability to learn new software and programs.
- Disposition to manage confidential information.
- Bachelor’s degree, or Associate’s degree plus a minimum of two years of administrative experience.
- Advanced or expert level proficiency with Microsoft Office/Office 365 (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat, including advanced formatting skills in MS Word (use of styles, table of contents, footnotes, section breaks, headers and footers, hyperlinking, etc.) and Adobe Acrobat (compilation of large documents with hyperlinks, multiple figures, appendices, etc.).
- Ability and desire to understand the industry and our firm’s capabilities and write about our various fields of work.
DESIRED:
- Related applicable experience in any of the following areas: Human Resources, onboarding, bookkeeping, contracts (legal/management), IT helpdesk, website management, permitting.
- Individuals who have a degree or experience in one of our technical fields (i.e., GIS, environmental science, etc.) and are interested in this position are encouraged to apply.
