Position Description
Responsible for providing high-level administrative support to the CEO, President, and CFO of Bryan Construction by handling a wide variety of situations involving the administrative functions of the office
Top Responsibilities
  • Track and update all professional memberships and associations for senior staff
  • Management of sponsorships and attendance at community events
  • Track and renew all licensing
  • Prepares agendas, makes travel arrangements, and maintains calendars for senior management.
  • Performs clerical and administrative tasks to include letters, memos, reports, emails and other documents for senior management
Primary Duties/Responsibilities
  • Management of sponsorships and attendance at community events
  • Coordinates collection and preparation of operating reports, such as budget expenditures, and statistical records of performance data.
  • Issues and interprets operating policies.
  • Organizes and arranges for staff members to represent organization at meetings and conferences, using own initiative.
  • In executive's absence, ensures that requests for action or information are relayed to the appropriate staff member.
  • Interprets requests, helps implement action, and decides whether executive should be notified of important or emergency matters as needed.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Track and renew various city, county and/or state licensing requirements
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • May compose and sign correspondence for executive.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Reads outgoing correspondence for executive approval and alerts writers to any conflicts or departure from policies or executive's viewpoints.
  • Prepares reports including conclusions and recommendations for solution of operational and administrative problems.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Arranges travel and accommodations for executives.
  • Performs additional duties as assigned by executives.
  • Notes commitments made by executives during meetings and arranges for staff implementation.
Required Skills/Abilities
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Excellent organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to function well in a high-paced and at times stressful environment.
Required Education and Experience:
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook, Teams, OneNote, PowerPoint, etc)
  • Proven interpersonal skills
  • High school diploma or equivalent required; Associates degree in office administration or related field required
  • At least three years of administrative and clerical experience required.
Preferred
  • Experience with corporate event planning
  • 4-5 years of construction/related industry experience
  • Bachelor’s Degree in Business Administration or a related field
  • Experience with Sage 300 accounting software

Summary pay range: $59,000 - $78,000
