Job Title
Executive Assistant
As the Executive Assistant, you will be responsible for providing professional administrative support to VP or C-Level executives. If you have the ability to understand high level company procedures and resolve complex issues of an administrative nature this is the role for you!
Roles and Responsibilities: (On-Site Position - Golden, CO)
  • Welcome visitors, answer questions and meeting requests directed to executives.
  • Compose correspondence that require knowledge of executives’ views, philosophy, and some understanding of technical matters, may sign for executive when technical or policy content has been authorized.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the executives, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
  • Summarize the content of incoming materials, specially gathered information, or meetings to assist executives; coordinate the new information with other sources; draw attention to important matters or areas of conflict.
  • Assist and/or perform in any and all areas as assigned.
  • Respond to project requests that are of an administrative nature.
  • Requisition needed supplies, equipment, and repair and maintenance services through agency channels as needed.
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Proofread and correct prepared materials for grammar, spelling, punctuation, format, syntax, and content.
  • Provide a bridge for smooth communication between the executives’ offices and internal departments; demonstrate leadership to maintain credibility, trust and support with senior management staff.
  • Plan, coordinate, and ensure the executives schedules are followed and respected. Provide "gatekeeper" and "gateway" role, create win-win situations for direct access to executives’ time and office.
  • Work cooperatively with other administrative assistants and other employees at various levels throughout the organization.
  • Achieve high performance goals and meet deadlines in a fast-paced environment.
  • Independently provide high level administrative support to executives including managing calendars of appointments; completing expense reports; composing and preparing correspondence that may be confidential; arrange complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings.
  • Work closely and effectively with the executives to keep them well informed of upcoming commitments and responsibilities, follow up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keep the executives updated.
Job Requirements:
Education:
  • High school diploma/GED
Experience:
Three (3) years’ related experience supporting Executives.
Functional/Technical Knowledge, Skills & Abilities:
  • CAP-OM or CAP certification preferred.
  • Must be able to work with a diverse variety of people from different cultures and backgrounds.
  • Strong interpersonal and organizational skills, great attention to detail as well as excellent listening, verbal and written communication skills.
  • Knowledgeable in creating and updating complex organizational charts; preferably knowledge with Org Plus software.
  • Highly proficient in Microsoft Office (Outlook, Word, Excel, and Power Point).
  • Able to balance directing and influencing others with a service mentality and approach.
  • Proficient in Adobe Acrobat Pro.
Target Hiring Range
Annual Salary: $63,450.00 - $83,750.00
