- At least four years of progressively responsible experience in an administrative setting; college study may be substituted for up to two years of the experience. Public sector and executive office experience is preferred.

Under the general direction of the SFS Executive Director, the Executive Assistant will provide the full array of administrative support to the Executive Director, Executive Deputy Director, and the SFS Leadership Team. The individual will also support the SFS Administration Team, and provide overall office management for the SFS organization.
General responsibilities include:
- Maintaining the calendar for the SFS Executive Director and Executive Deputy Director, coordinating with SFS staff, as well as administrative assistants and staff from other agencies and organizations, to schedule meetings, interviews, and other events.
- Building and maintaining effective working relationships with internal and external administrative and Executive staff.
- Managing and coordinating logistics for meetings, travel, and SFS-wide activities, including space set-up and preparation of meeting/event materials.
- Proof-reading SFS written documents to ensure documents are of a high quality and meet SFS standards.
- Receiving and screening telephone and email inquiries from internal SFS staff, other State government officials, and the general public. Responding directly to inquiries or referring to appropriate staff as necessary.
- Scheduling and managing the use of meeting rooms and other shared office resources. Ensuring the meeting space is appropriately maintained and ready for use.
- Managing the office supply inventory, including working with the SFS Administration Team to purchase needed supplies.
- Assisting staff with the use of office equipment.
- Maintaining the floor plan, and assisting with seating assignments and other space utilization and building management-related matters.
- Assisting with Telecommunication activities, including handling phone-related issues, installations, and modifications; maintaining the office telephone directory for internal and external use
- Coordinating building access for visitors; greeting office visitors.
- Managing the administration of parking for SFS team members, in accordance with OGS policy.
- Developing, communicating, and maintaining office administrative policies and procedures.
- Perform other duties and special projects as assigned.
