Role Purpose:
Business partner to C-Level Executive by providing day to day administrative support and exercising independent judgement to maximize efficiency and accuracy of schedule, meetings, and communications. Work to support all aspects of daily work routine. Prepare board and executive-level presentations.
Key Accountabilities:
- Prioritize critical meetings that require C-Level attendance while deferring or reassigning more routine meetings to other team members.
- Complete variety of special projects including special reports and agenda materials.
- Screen phone calls and email inquiries and resolve routine inquires. Excellent verbal and written communication are crucial for the role.
- Anticipate needs of C-Level Executive and proactively bring the appropriate stakeholders and resources together.
- In addition to the above key responsibilities, you may be required to undertake other duties from time to time as the Company may reasonably require.
- The role requires monitoring and communication beyond working hours including evenings and weekends.
- Ensure C-Level Executive is advised of time sensitive and priority issues, ensuring appropriate actions are completed.
- Coordinate complex and detailed domestic and international travel arrangements and develop itineraries and comprehensive travel plans. Monitor flight plans and adjust plans when circumstances change. Prepare, reconcile, and submit expense reports.
- Prepare presentation materials that are high quality and content: utilizing MS PowerPoint and Word including creating/importing tables, charts, and graphs from various sources. This includes advanced MS Word and MS Excel (creating memos, reports, agendas, spreadsheets) skills for preparing documents for executive management and the board. There is a high-level expectation that materials will be without errors and presented with clarity.
- Coordinate offsite staff meetings ensuring agenda, materials, equipment, catering, and supplies are completed in advance of meetings.
- Demonstrate high level of professionalism and ability to handle sensitive matters while exercising sound judgement, discretion, and confidentiality.
- Organize and participate in recurring internal management meetings. This includes scheduling, requesting, organizing, and distributing materials as well as participation in the form of recording meeting minutes and maintaining comprehensive and accurate records and documents.
- Position will report to C-Level Executive and will function as the gatekeeper.
- Manage calendar and scheduling with external banks, rating agencies, regulators, investors, lawyers, auditors, consultants, and members of the executive and senior management teams. Scheduling will require direct communication with referenced stakeholders via phone, text and email. The meetings take place across multiple time zones, but primarily the US, London, and Bermuda.
- Engage with C-Level Executives direct reports to ensure they are meeting critical deliverables (i.e., timely submission of materials, trainings, HR requirements)
- Collaborate with executives and staff throughout the organization.
Experience:
- 10+ years of minimum experience as executive assistant
- Extensive experience with board presentations
Knowledge:
- Strong experience with Adobe or PDF products
- Concur or similar travel system
- Hands-on experience with document management and delivery of materials via secure board/management portals
- Excel skills must include the ability to create crisp charts and graphs based upon data provided
- Advanced Microsoft Word and PowerPoint skills

General Info:
The target base salary pay range for this role is $80,000 - $100,000*
*Target full-time equivalent base salary range is based on relevant market data. Actual salary offered will depend on applicable market data for hiring location and relevant candidate knowledge, skills/experience. This salary range is not inclusive of applicable discretionary incentives.
