We are seeking an Executive Assistant to serve as the primary administrative support to the Zelis Chief Information Officer (CIO), Chief Data Officer (CDO), and Chief Information Security Officer (CISO). This role will report directly to the Zelis CIO, and have dotted line accountability to both the CDO and CISO.
This is a critically important role, enabling the executive(s) to work most effectively with internal and external stakeholders and fulfill their commitments to Zelis’ partners and the Board of Directors. This is not just an administrative role and requires someone who is accustomed to being in a visible role; it requires a highly organized individual to support, manage, and facilitate the needs of the executives and related teams while juggling multiple priorities simultaneously. The role also requires a person who is highly resourceful and technical to effectively and efficiently manage day-to-day needs in a fast-paced environment.
Essential Duties and Functions
- Prepare presentation materials for meetings using MS PowerPoint, MS Word, MS Excel
- Compose memos, letters, and other correspondence on behalf of leaders
- Coordinate Video and Audio conference calls
- Maintains calendars, contact lists, files and contracts
- Work discretely with confidential information
- Confirm objectives, participants, materials for all meeting invites and calendar needs
- Work closely with any operational department heads as it relates to departmental projects
- Meet & greet visitors and prepare meeting sites accordingly
- Provide direct daily support to senior executives
- Work with Technology leadership administrative team and Chief of Staff to ensure appropriate and timely communication with leaders and meeting participants
- Follow up with copies of communication materials as appropriate
- Work closely with executive and senior leaders to remain apprised of/schedule upcoming commitments
- Create and maintain filing systems and databases
- Responsible for travel and meeting arrangements
- Highly technical, highly organized, must be able to work paperless
- Strict gatekeeper who can answer, screen and direct incoming calls
Required Experience: Qualifications, Knowledge, and Skills
- Must be able to work beyond traditional work hours
- Advanced PowerPoint skills, including formatting and graphics experience
- Must be willing to travel on occasion (less than 10%)
- Excellent written and verbal communication skills
- Bachelor’s degree or equivalent experience required
- Expert knowledge of Microsoft Outlook, Word, Excel, PowerPoint
- Must be able to work under pressure and meet deadlines
- 5+ years of progressively responsible office administrative or executive support
- Must be sensitive to confidential information
Preferred Experience:
- Exceptional organizational skills and multitasker
- Detail-oriented and able to work in a fast-paced environment
- Ability to recognize and solve problems quickly
- Consulting, Private Equity, Venture Capital or IT experience a plus
- Ability to anticipate needs while managing the day-to-day workflow
- Must be proactive, accountable and have excellent judgement
- Ability to quickly adapt to new technology and easily acquire new technical skills

- Sedentary work - Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently to lift, carry, push, pull or otherwise move objects in daily work use (laptop, monitors, et. al). Sedentary work involves sitting most of the time. Use of keyboards (typing) and exposure to computer screens occurs daily. Pleasant work environment in office locations with occasional noise or dust.
