Responsibilities

The role of the Administrative Assistant is to provide support to the CEO and Executive Assistant by completing assigned professional and personal tasks and projects.

  • Collaborate closely with the executive assistant to complete time sensitive tasks including signature requests, rebooking travel arrangements, meeting preparation, etc.
  • Make travel arrangements including airfare, hotels, and rental cars.
  • Printing, mailing and restocking office supplies for the executive.
  • Communicate internally and externally as a liaison for executive and executive assistant.
  • Maintain, track, and organize personal and professional information (licenses, documents, passwords, etc.).
  • Schedule personal appointments for the executive’s family.
  • Other duties as assigned.
  • Compile and summarize research; make recommendations upon findings.
  • Expense reporting.
  • Ensure high-quality completion of ad-hoc projects as assigned.
  • Run personal errands (car washes, dry cleaning, shopping, etc.).
  • Take phone calls on behalf of the executive and executive assistant and communicate relevant information to them.
Requirements:
  • Ability to work a full time schedule, understanding that your scheduled workdays may vary according to staffing and company needs.
  • Bachelor’s degree is preferred
  • Works as a team player. Operates with the understanding that we do our best when we work together.
  • High school diploma or GED required
  • Passionate about your work and our company goals and vision.
  • Entrepreneurial ownership mindset –makes smart decisions for business, puts clients and teammates first, collaborative, inquisitive, self-motivated, and operates on trust (not fear).
  • Strive to achieve ambitious goals - loves to be challenged, determined to win, works tirelessly to achieve results.
  • Ability to maintain discretion and confidentiality
  • Computer skills: Microsoft Word, Excel, One Note, Outlook, Power Point, Monday and Adobe Acrobat
  • Ability to perform the physical functions of the position, which may include, but are not limited to: ability to walk property, including up to 6 flights of stairs, to complete physical inspections.
  • Maintain neat, well-groomed, professional appearance.
  • 1 – 3 years’ experience preferred
  • High integrity – trusted, direct, truthful. Embodies confidence and admits mistakes.
  • Must be highly organized, detail-oriented and have good time management skills.
  • Strong interpersonal, oral and written communication skills.
  • Ability to organize and manage multiple priorities within established deadlines.
