Job Description
We are looking for a Creative Project Manager to join the Creative Planning & Management team. This role serves as a hybrid account and project manager for USI Event activations, partnering in the day-to-day with the Creative & Design Event Producer and USI GTM Lead to creatively and strategically execute led events and company sponsored events. They build strong, trusted relationships with people across diverse disciplines including marketing, media, production, creative, strategy, account, and leadership.


They will plan, resource and contingency plan for our company events within the Creative & Design department to deliver best in class, on brand creative, and reduce spin and burnout. This person will own and drive the process for event creative, design, and copy deliverables as well as special assignments. They are skilled in timelines, creating and tracking a high quantity of marketing content and actively communicate status and project plans with creative and cross-functional stakeholders. They provide ownership and accountability and see projects through completion.


An ideal candidate will have a strong project management and integrated production background, has client facing experience and will confidently lead the creative development process for event activations. They should have a minimum of 5-7+ years in a creative agency environment, thrives in a high-velocity, high-volume environment, and proven track record of identifying creative solutions. Experience with events and outer-active projects preferred.


Requirements


Specifically, the position encompasses the following duties:


  • Thrives in fast-paced creative environment.
  • Manage and monitor changes in scope, prioritization, schedules and costs across complex, multimedia project
  • Understand when (and why) to escalate issues. Facilitate meetings, and ensure the team receives clear direction for next steps
  • Day-to-day partnership with GTM Lead, Event Producer, and Creative Director to understand project request, gather requirements, define objectives, deliverables and delivery dates, plan resources and develop a clear and actionable project plan
  • Establishes strong trusting relationships with internal/external teams, while managing multiple work-streams with competing priorities.
  • Develop project scopes, budgets, and timelines involving all relevant stakeholders
  • Facilitates project-related team meetings (i.e. kick-offs, status, internal/client reviews, etc,), communicating action steps ensuring all stakeholders have up to date, day to day reports and project milestones
  • Assist in planning and executing events, both virtually (if necessary) and in-person
  • Actively sets and manages expectations with internal and external teams. Prioritizing event projects that come through the creative & design team
  • Finds the right balance between not enough process (chaos) and too much (bureaucracy)
  • Planning and resource management / allocation based on upcoming events work
  • Work efficiently with stakeholders and marketing partners to support and execute integrated event marketing plans
  • Work with stakeholders on registration needs including websites and custom email communications including invitations, and reminders.
  • Confidence to jump straight into a project, mid-project. Self-motivated. Able to work independently with minimal supervision.
  • Continually work to optimize process and workflow


Qualifications


  • 5+ years of creative project management experience. Creative advertising agency, client-facing, and events and outer-active experience preferred.
  • Ability to work cross-team and synthesize feedback and input from Marketing, Leadership, Creative and partners.
  • A demonstrated track record of gaining trust and respect by consistently demonstrating sound critical thinking skills, provide creative solutions, and maintaining composure in stressful situations
  • Must have previous experience working with design, advertising and/or marketing teams.
  • Excellent project management, time management, communication, and interpersonal skills.
  • Understanding of creative strategy, best practices and guidelines
  • Highly tech literate, should be able to master software and tools quickly. Experience working with project management software required
  • Have relentlessly high standards (is never satisfied with the status quo).
  • Deep understanding of the production process (across all media), timelines, and demonstrated capability to produce multiple, overlapping projects
  • Team player with refined and assertive leadership skills and ability to positively influence change through solid rationale, supporting data, and diplomacy.
  • Self-starting, flexible, highly organized, detail-oriented, reliable, and able to meet tight deadlines.
  • Experience with large, complex, multi-stage projects
  • Experience managing large amounts of data.
