Community Manager / Executive Assistant
Job Overview
The Community Manager position is critical to building the right office culture. The community manager curates a journey for our clients, partners and staff from beginning to end. A genuine interest in what our people do, how they interact with one another and their well-being is central to a community managers work. Some of the key functions a community manager should fulfill are as:
Experience Ambassador: Our clients, partners, and staff journeys don't begin at the front door of our space, rather, it begins in their homes, hotel rooms, on the street or in the subway. Creating a positive experience is one of the most valuable ways we have to live our brand and culture. From engaging with clients before they arrive, giving tours of our space and sharing the history of the building, to making recommendations for local restaurants and transportation; you will be the face of a positive experience for our clients, partners, and staff.
- Push M Moser app to visitors and/or Visitor Guide (employees) before they arrive on site. This will allow them to book work points, give them instructions, etc.
- Greet visitors in the lobby when they are expected to escort them to the space, telling them about the organization, the Woolworth building, and our workplace
- Concierge Service: Take bags and coats, offer beverages to clients and partners, and connect them to supplies and resources
- Greet unexpected visitors at the door
- Know visitors by name + company
- Communicate company vision, people, and work to visitors
- Local guide: Connect clients/partners to local restaurants, sites, and businesses
- Check in and assist with MMoser internal visitors’ bookings as needed
Colleague Support: Our workspace, tools, and technology are what supports us doing what we do best. While we all contribute to making sure the workplace is tidy and well maintained, you would champion this effort to ensure the workspace is tidy, supplies are replenished, packages delivered, and community guidelines are upheld. A smooth running workplace will ensure a smooth running community.
- Organize: Make sure pantry is stocked with snacks, beverages, and supplies. Excess supplies are ordered and on hand and distribute mail and packages.
- Tidy: Conference rooms are clean, well stocked and the workplace looks presentable.
- Coordinate: with Security, IT, building maintenance, and cleaning staff to maintain office
- Lead: Make sure community guidelines are upheld and that activities, supplies, etc. are within budget.
- Manage vendor and consultant visitor calendars, coordinate with vendors when presentations offer CEU credits
Event Planner: Building community internally, with clients, and partners requires us to activate relationships over meaningful engagements. Promote established Learning and Development sessions, lunch and learns, happy hours, working lunches, brainstorming breakfasts, etc. fuel our community’s potential to learn, communicate and grow. You would be responsible not only for organizing, but identifying events the staff would be interested in and would benefit from.
- Familiarize with established Learning and Development program
- Crowdsource and collaborate on ideas from staff on events of interest.
- Organize internal educational/networking events aligned to vision.
- Make arrangements for food, beverage, equipment, and venue.
- Curate appropriate group of participants, internally and externally.
Networker: As a “dot connector” you will work with a global network of community managers to understand relevant projects and services in each office and connect that information to the appropriate community members in (location). Additionally, you will engage with external clients and partners to help provide them with the right connections for their project.
- Connect to global community managers, assist with covering regional locations as appropriate
- Understand local and relevant projects & services to push and pull knowledge across offices. Connect relevant parties when there’s alignment.
- Connect clients to each other and appropriate community members
- Connect communications from business main phone + email to appropriate parties.
- Data driven insights to inspire better service and higher performance.
Job Requirements

- Providing support to senior executives, including coordinating travel and logistics
Compensation Range: $65,000 to $80,000 per year
