Legal Operations, Systems and Business Process Manager

This role will report to the Senior Director of Legal, Government Relations, Ethics and Compliance Operations. In this role, you will join the Legal Operations team in our digital transformation efforts and in assessing, implementing and maintaining our legal systems. Together we will increase efficiency within existing technologies, streamline our processes, and weave innovation and actionable analytics throughout our initiatives. You will have the opportunity to provide business support and improve processes, tools, and technologies while working cross-functionally with Legal, Digital Technology (IT), Product, Finance, Procurement, as well as collaborating with third-party vendors.


What you get to do in this role:


  • Help develop, implement, and support systems, technology and ways of working including managing the portfolio of tools, applications, systems and processes used by the Legal Department, including SURF focusing on Legal Service Delivery and Integrated Risk Management as well as third-party tools and systems
  • Assist with creation, maintenance, evolution and analysis of system dashboards and trend reports to help guide data-driven business decisions
  • Create change management documentation and training for digital transformation initiatives including, but not limited to, demo videos, enablement materials, enablement sessions, and feedback loops for current enhancements and new implementations
  • Review, document, and manage UAT defects from initial reporting through resolution
  • Assist with strategic planning of law department technical and digital transformation roadmap and any additional legal operations projects and initiatives, as needed
  • Work closely with cross-functional teams to manage technical issues and incidents as they arise
  • Provide primary Legal Operations support relating to digital transformation and systems management, workflow development and enhancements, and associated adoption efforts
  • Liaise with cross-functional teams and Legal’s business partners providing legal systems and process SME experience on behalf of the legal team
  • Prepare business requirement documentation including drafting stories and epics, creating process flow charts, mock-ups and other necessary business requirement documentation
  • Collaborate closely with global Digital Technology (IT), Legal, Product, and Engineering teams on Legal-related projects
  • Manage end-to-end lifecycle of specific initiatives within the digital transformation portfolio across both Legal Service Delivery and Integrated Risk Management from project inception and project plan creation through product launch and related change management efforts including communications and enablement
  • Lead business requirements gathering sessions with SMEs
  • Lead UAT efforts including preparing UAT scripts for impacted stakeholders and hosting required training or testing sessions


Qualifications


To be successful in this role, we need someone who has:


  • Comfortable working in a fast-paced, dynamic environment across several different work streams
  • Strong interpersonal skills with a customer-centric attitude
  • Excellent communication and writing skills including a depth of experience in project plan development, user story development, agile methodology, process mapping, user acceptance testing, and impacted stakeholder communications
  • Proven project and change management experience with a preference on digital transform initiatives and programs
  • 5-8 years of experience in legal operations, legal project management or IT operations focused on digital transformation and system implementation and management for a Legal and/or a Compliance Department
  • Background in business analysis, software design, software development, data architecture, operating systems, software testing or related technical area
  • Must be a team player: teamwork makes the dream work!
  • 3+ years leading digital transformation or technical systems management
  • Ability to balance short-term goals with long-term strategies
  • Comfortable leading digital transformation workshops and requirements gathering sessions include presenting to leadership and large groups
  • Hands-on manager who is ready to to dig into the details, colloborate effectively with colleagues, and provide clear, concise, and comprehensive updates
  • Embrace and encourage a culturally diverse corporate and team culture
  • Must be able to successfully work cross-functionally on complex transformations with competing ideas
