Major Duties


Under general supervision of the Executive and Artistic Director, the Assistant to the Executive and Artistic Director provides administrative support to the Director, ensures seamless and efficient day-to-day work through processing of administrative functions, including scheduling, correspondence, document and information management, and etc. The incumbent maintains the Director’s schedule, and works closely with various campus partners and leaders when relevant.


  • Provides support to The Soraya’s internal, cross-departmental Development team by assisting with gift processing, database maintenance, information gathering, meeting prep, and etc., especially as it pertains to the Director’s fundraising activities.

  • Oversees mass mailings and mail merge functions as it pertains to correspondence from or on behalf of the Director, and works with the Event Manager and other staff members to prepare event briefings.
  • Supports organizational efficiencies by way of performing basic office functions, as well as delegating meetings from the Executive and Artistic Director to other members of the YSNC department.
  • Performs other duties as assigned.


Qualifications


  • Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity exercising independent judgment and leading the work of others.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience.


Knowledge, Skills, & Abilities


  • Ability and specialized skills to: prepare letters, memos, and reports; transcribe minutes; make travel arrangements; analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions; apply judgment, discretion, and initiative in establishing priorities, providing follow-up and quality control; perform business math and analyze budgetary data and make accurate projections requiring some inference; interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
  • Ability and specialized skills to: understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas; plan, organize, and lead or oversee the work of others; keep moderately complex records and files; communicate effectively both orally and in writing; establish and maintain cooperative working relationships; effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations; operate standard office equipment and software.
  • Working knowledge of budget policies and procedures. Expertise in using office software packages, technology, and systems.
  • Thorough mastery of: office methods, procedures, and practices; and correct English grammar, spelling, and punctuation.


Pay, Benefits, & Work Schedule


  • REG: This is a Regular position with a one-year probationary period.
  • The anticipated HIRING RANGE: $3681 - $4850 per month, dependent upon qualifications and experience. The salary range for this classification is: $3681 - $6034 per month.
  • The position is currently hybrid (3 days in office, 2 days remote); however, this is subject to change based on student and/or operational needs.
  • HOURS: Full Time; 40 hours per week; Monday through Friday.
