Job Description

Assistant Banquet Manager

Join our team of passionate hospitality professionals as we launch the highly anticipated Hyatt Regency Coralville Hotel & Conference Center, giving guests memorable experiences and access to the best restaurants, night life, and outdoor recreation in the city. Formerly the Coralville Marriott, this dynamic change to the new Hyatt will be managed by Marcus Hotels & Resorts whose corporate history dates back to the first Marcus Movie Theater in 1935. That was when our founder first established our guiding principles of People Pleasing People and to always realize our most important assets are our incredible associates.

POSITION PURPOSE: To supervise and train staff in the maintenance and coordination of banquet rooms by providing the necessary set-up, upkeep, break down, and cleaning function policies and procedures. Prepare weekly schedule. Process Banquet Bills on a daily basis. Enforce all policies and procedures.

ESSENTIAL FUNCTIONS:

  • Supervises and trains staff in the set up and break down of assigned banquet rooms according to contract and manager's instructions.
  • Supervises and trains staff in the service of food and beverages according to standards.
  • Communicates frequently with supervisors as to the progress of the day's work.
  • Communicates frequently with guest contacts in order to ensure that their needs are being met.
  • Supervises and trains staff in maintaining cleanliness of banquet rooms, banquet pantry, public areas, and storage areas.
  • Supervises and trains staff in maintaining inventory of necessary supplies.
  • Process Banquet Bills on a weekly basis.
  • Draft schedule on a weekly basis and in compliance to forecasted and budgeted labor numbers for approval of the Banquet Manager.
  • Supervises and trains staff to conform to Hilton's high standards of quality and service.
  • Ensures the highest quality of food, beverage, and service related to all banquet areas.
  • Directs and coordinates the activities of all assigned personnel and departmental responsibilities. Responsible for training standards throughout department.
  • Ensures the coordination of banquet service needs with food production.
  • Maintains effective communications within and between departments to ensure proper servicing of guests expectations.
  • Maintains warm, hospitable guest relations in all guest contact. Interacts with banquet department associates as needed for guest service purposes.
  • Maintains accurate banquet function’s records and banquet checks.
  • Conducts monthly departmental meetings. Attends F&B, BEO, Special Events, Quality, and other required meetings.
  • Responds to individual guest needs as they occur.
  • Implements and supports hotel operation policies and procedures.
  • Operates in compliance with all local, state and federal laws and government regulations.
  • Staffs department to meet departmental responsibilities.
  • Trains assigned associates to meet departmental responsibilities. Communicates effectively, both verbally and in writing, to provide clear direction to the staff.
  • Interfaces department and self with other departments of the hotel to ensure a harmonious working relationship.
  • Ensures good safety practices of employees, assists in the maintenance of the emergency action plan and security procedures.
  • Make recommendations to his/her supervisor regarding improved methods and procedures so as to have a positive impact on guest/associate satisfaction.
  • Establish and maintain effective associate relations.
  • Ensure appropriate standards of conduct, dress, hygiene, and appearance are maintained.
  • Full knowledge and participation in the hotel's Fire, Safety, Security, and Environmental plan and/or committees.
  • Performs other duties as assigned.

MANDATORY JOB REQUIREMENTS:

  • Ability to respond quickly and accurately to guest requests.
  • Ability to handle multiple tasks quickly and efficiently.
  • Ability to lift 35 lbs. with reasonable accommodation.
  • Knowledge of food preparation.
  • Prior Banquet Server experience required. Prior hospitality supervisory experience preferred.
  • Strong knowledge of Food & Beverage operations and preparation techniques.
  • Ability to work entire shift standing and moving about in banquet areas.
  • Ability to read, write, and communicate effectively in English language, to understand internal documents, reports and to interact effectively with guests and all banquet

employees.

  • Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacy to defuse anger, collect accurate information and resolve.
  • Position requires 2 years-previous Food & Beverage and supervisory experience.
  • Additional language ability preferred.
  • Knowledge of Microsoft Word, Excel, PowerPoint helpful, Outlook, and POS systems.
