The Public Employees Retirement System is recruiting for two (2) Administrative Specialist 1 (Administrative Coordinator) positions within the Operations Division.
  • Both positions are based at our headquarters office in Tigard, Oregon, however, one position is a fully remote position and the other is a hybrid position that will work part-time at our headquarters and part-time remotely.
  • These positions are represented by the Service Employees International Union (SEIU).
  • This recruitment will be used to establish a list of qualified applicants to fill the current vacancies and may be used to fill future vacancies as they occur.
  • These are two (2) full time, permanent positions.
We serve the people of Oregon by administering public employee benefit trusts to pay the right person, the right benefit, at the right time.
Operations Division
The Operations Division is responsible for providing accurate information and timely customer services to PERS members, including comprehensive retirement plan information and assistance, issue resolution; providing accurate information and timely services to PERS employers including employer education, reporting assistance, compliance, overdue data, and contribution collection and validation; intake and processing of all benefit applications and stand-alone forms before and after retirement; initiating benefit estimates and processing purchases; determining eligibility for withdrawal; approving and denying disability applications; determining beneficiaries for pre- and post-retirement death benefits; reviewing court orders for compliance; calculating, maintaining, and ending all service retirement, disability, divorce, and death benefits for the PERS, OPSRP and IAP retirement programs.
Member Services (MS)
Member Services is responsible for providing accurate information and timely services to PERS members. Services are provided by the Member Information Center, Correspondence, Education and Team One Follow-up. Member Information Center (MIC) receives inbound member calls and provide information and assistance; record member interactions, details of inquiries, complaints, or comments; and gather information and/or troubleshoot member issues for resolution. Correspondence and Team One Follow-up provide additional services. The Education Team facilitates state-wide and virtual education presentations and events for members at different stages in career and/or retirement. This team assists retiring members with forms assistance. Employer-requested training is supported by this team.
MS Administrative Specialist 1 (Administrative Coordinator):
The Administrative Specialist provides Member Services support contributing to an organized, efficient, and productive team. This position will support both Section manager and department leadership with projects and efforts to meet team and member needs. This position will coordinate, assisting with scheduling, with meeting room and equipment arrangements, lodging, and travel, reporting and materials. This position will assist administratively, capturing meeting minutes, updating presentation materials, compiling statistics, and reports, as well as providing support and assistance for education events and efforts. This position will also engage with PERS members, verifying and activating Online Member accounts.
Operations Division Administrative Coordinator
This position provides administrative assistance to the Operations Division and the Chief Operations Officer. This position assists in the organization of Operations Division workflow, recommends adjustments and refinement to processes and procedures to increase efficiencies. This position processes Operations Division staff training requests and reconciles receipts for payment. This position manages communications and scheduling for new hires regarding the Operations onboarding program. This position assists with Outlook meeting scheduling, attends meetings, takes meeting minutes and publishes to agency shared drive. This position coordinates, plans and participates in agency initiatives. This position is required to maintain complete confidentiality.

MINIMUM QUALIFICATIONS:
Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data.
OR
An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data.
OR
An equivalent combination of education and experience.
