We have an outstanding opportunity for an Administrative Assistant 1.

Under the supervision of the Associate Director for Employee Relations in the Executive Office of the President and Provost, the Administrative Assistant provides administrative and operational support to the Office of Enrollment Management, in the areas of communications and correspondence; procurement and front-end office operations; and special projects. This position is expected to work closely and collaboratively with members of the Enrollment Management (EM) department to ensure seamless support and smooth operations for all EM units, which includes the following offices:

  • Office of the University Registrar

  • Office of Student Financial Aid

  • Office of Admissions

  • International Student Services


  • DUTIES AND RESPONSIBILITIES

    Enrollment Management Operations:

  • Manage front ofice business operations - maintaining and ordering supplies and equipment; submitting and maintaining IT equipment inventory, surplus, and facilities work requests; and similar project and procurement management.

  • Serve as building coordinator for Schmitz Hall, managing building access, coordinating key requests, serving as liaison with UW Facilities, and managing building-wide communications related to facilities work. Submits facilities work requests on behalf of the EM offices. Partners with individual EM office designees as appropriate for specific EM office needs.

  • Proactively maintain and update EM’s directory listings (printed and web-based)

  • Initiate frequent and open communication within the office on issues, project statuses, process improvements, etc.

  • Updates general signage and notifications throughout Schmitz Hall common areas (i.e., COVID masking updates, building access hour changes, etc.)

  • Perform short term special projects as requested and other duties as assigned.


  • Enrollment Management Administrative Support:

  • Support day-to-day records retention of EM documents; scan, organize, and file documents in accordance with internal Executive Office file structure and in compliance with UW records retention policy.

  • Coordinate, manage and maintain the EM's conference room spaces, including set-up of conference calls, arranging for audio-visual equipment, and resetting room layouts after each meeting.

  • Serve as point-person/liaison for meeting and conference technology needs.

  • Provide support to Admissions team during high mail volume season (application cycle, etc.).

  • Manage leased copier (if there is one) and document shredding services.

  • Manage EM incoming mail, correspondence, and deliveries.


  • Requirements include:

  • High School/GED AND one year of office clerical support experience OR equivalent education/experience.


  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    Desired:

    • Demonstrated ability dealing with sensitive information and maintaining confidentiality.
    • Proficiency in Windows and Microsoft Office.
    • Appreciation of, a sensitivity to, and respect for a diverse academic and professional environment, inclusive of students, faculty, and staff of many social, economic, cultural, ideological, racial, and ethnic backgrounds.
    • Ability to remain composed during crisis and provide excellent customer service under all circumstances.
    • Experience in composing, editing written correspondence and complex documents including but not limited to: merging and sorting, integrating text with graphics, spreadsheets and data base files, upload/downloading, etc.
    • Experience or familiarity with the University of Washington and/or higher education administration
    • Excellent organizational, time management, and interpersonal skills, including strong attention to detail. Must be able to manage competing priorities in a fast-paced, high-profile environment.
    • Working knowledge of communications technology tools and other resources (AV equipment, Skype, Zoom, Google Drive, SharePoint).
    • Excellent communication skills, both written and verbal.

    Working Environmental Conditions:

    • Position is onsite a minimum of three workdays a week and in an open office environment.
