Position Overview


Kate Farms has a need for a temporary Accounts Payable Coordinator. This position is intended to be 3 – 4 months in duration. The ideal candidate will have a natural passion for math, and a strong understanding of the intricacies of assets, liabilities, profit and loss, and other financial transactions within an organization. They will play an enormously important supportive role in terms of accurate and timely vendor accounting cycles through all accounts payable processes and procedures, including employee reimbursements, and non-inventory Purchase Order issuance.


Essential Job And Responsibilities


  • Manage inventory item receipts to payment including purchase price variances working with Operations Department on all Purchase Order discrepancies.
  • Ad hoc projects as requested including but not limited to maintaining department internal control policies and procedures, account analysis, and/or recommend process improvement.
  • Manage and reconcile Purchase Order Receipts accruals balance sheet account monthly.
  • Process all vendor invoices on a timely basis including accurate and appropriate general ledger account coding and data entry.
  • Cut and prepare manual A/P checks as required by the Controller.
  • Maintain and organize accurate and up-to-date vendor Accounts Payable records both electronic as well as source documents.
  • Record all credit card expenses and related banking transactions into Business Central on a weekly basis.
  • Assure that critical check due date deadlines are met to avoid penalties.
  • Ensure compliance to IRS and Company's operating expense spending policies.
  • Obtain appropriate management approvals for all vendor invoicing and payments.
  • Manage/audit employee reimbursement system (Concur) transactions and processes, including review all receipts, match dates amount and intended business purpose.
  • Maintain accurate vendor W-9 binder and process year end 1099 forms.


Minimum Job Requirements


  • Ability to perform at high levels in a fast-paced ever-changing work environment.
  • Associate’s degree, certificate in Accounting/ Business Administration or equivalent experience
  • Experience with computerized ledger systems, preferably Microsoft Business Central.
  • Ability to anticipate work needs and follow through with minimum direction.
  • Advanced knowledge of Excel.
  • 5+ years’ experience in general accounting.
  • Strong problem solving and analytical skills.
  • Ability to function well in a team-oriented environment.

The base salary range above represents the low and high end of the Kate Farms salary range for this position. This range will vary and may be above or below the range based on various factors including but not limited to location, experience, internal pay alignment, and performance. The range listed is just one component of Kate Farms’ total compensation package for employees. Other rewards may include annual bonuses and short- and long- term incentives.
