The École is an independent, French-American bilingual school serving an international community of Maternelle-to-Middle School students in New York City’s Flatiron District. The school offers an academic, bilingual program and has a student body of more than 300 students from Pre-Nursery through 8th Grade (ages 2-14).
We are currently recruiting a Human Resources (HR) & Administrative Specialist to oversee and manage all Human Resources functions at our school.
POSITION SUMMARY
The HR & Administrative Specialist's responsibilities will include developing and implementing company HR policies, maintaining updated employee records, administering compensation and benefits packages, and implementing training and development plans. the HR & Administration Specialist will also be responsible for some administrative duties and work closely with the accounting & payroll manager, acting as the entry point for ADP, our health insurance broker, and our external legal team as needed. The HR & Administration Specialist is expected to foster a positive and healthy workplace by ensuring HR procedures run smoothly at all times.
ESSENTIAL DUTIES & RESPONSIBILITIES
HR Policies
- Maintain and ensure compliance with all applicable employment laws and regulations, including equal employment opportunity (EEO).
- Suggest new procedures and policies to continually improve the efficiency of the HR services and to improve the employee experience.
- Participate in the day-to-day administration, communication, and implementation of HR policies and programs.
- Plan, develop, and conduct training and professional development programs, in conjunction with the head of school.
- Develop and implement HR policies throughout the organization.
Hiring and Onboarding
- Evaluate, develop, and conduct new employee orientation and onboarding.
- Coordinate the recruitment process.
- Participate in the screening process for new hires, as needed.
- Update employee records with new hire information and/or changes in employment status.
- Assist with immigration and visa process support when needed.
- Process background checks for new employees.
- Prepare and review compensation and benefits packages and keep track of them.
Benefits
- Act as the contact person for our health insurance broker, understanding the benefits and policies of the different plans, and be fully informed of any changes to be implemented.
- Inform employees about additional benefits they are eligible for (e.g. extra vacation days).
- Administer health insurance plans and retirement plans, including French teachers' plans.
- Liaise with the accounting & payroll manager to estimate future costs and advise the head of school on choices to make.
Administrative Duties
- Consolidate and update the Employee Handbook as needed
- Maintain organizational charts and detailed job descriptions along with salary records.
- Answer routine HR inquiries from employees in a timely manner and facilitate general employee issues with the help of our partners: health insurance providers, ADP, legal consultants, etc.
- Collect and track days off, sick days, and hourly employees' timesheets and share them with the accounting & payroll manager.
QUALIFICATIONS, EXPERIENCE & SKILLS
Required Qualifications and Experience
- BSc/MSc in Human Resources or a relevant field.
- At least a 3-year proven work experience as an HR specialist or HR generalist.
Required Skills
- Ability to maintain strict confidentiality where appropriate.
- Great problem-solving abilities.
- Excellent communication skills: verbal and written.
- Excellent understanding of full-cycle recruiting.
- Excellent attention to detail.
- Excellent Microsoft skills (Excel, Word essential) and ease with Google Workspace.
- Strong interpersonal skills with a clear focus on customer service: internal and external (employees and partners).
- Excellent time management, prioritization, and organizational skills.
- Solid knowledge of labor legislation.
Desirable Skills
- Previous experience of working within a school and a good understanding of the independent school sector
- Hands-on experience with Human Resources Information Systems (HRIS) and knowledge of Applicant Tracking Systems is a plus
- Former Experience with Payroll processing is a plus
- French language knowledge is a plus
START DATE
The position starts on August 21, 2023.
ANNUAL SALARY RANGE
- $60,000 - $80,000 depending on qualifications and experience.
HOURS OF WORK & VACATIONS
- 5 sick days + 2 personal days
- 40 hours per week, Monday to Friday
- Public holidays as listed on the school calendar
- 15 vacation days + 3 weeks during school breaks (2 weeks of Winter break + 2nd week of April break)
