The Office Assistant serves as the department's primary point of contact by fielding questions from current employees, job applicants, and students. This position provides administrative and clerical support for the department including electronic records management, on boarding, off boarding, and routine department correspondence regarding benefits and employment. This is a job-share position working mainly afternoons. II. RESPONSIBILITIES:


  • Perform routine office administrative functions such as reception, mail retrieval and ordering office supplies.
  • Ability to collaborate with the job share partner to efficiently assist the department.
  • With the job-share partner, interview, select and supervise the department's work study students.
  • Ability to professionally handle confidential information.
  • Demonstrated ability to complete multi-step processes with accuracy and attention to detail.
  • Process invoices associated with recruiting and pre-employment testing expenses as well as other departmental invoices.
  • Respond to employment verification requests in a timely manner.
  • Assist with department events such as Open Enrollment and annual benefits fair.

  • Maintain all individual employee files and I-9 records. Assist with destruction of old files in compliance with College's file destruction policy.
  • Excellent communication skills, including the ability to professionally interact with constituents in person, by phone, and electronically.

  • Complete "off boarding" tasks: track all related steps, remove names from directories, correspond with supervisor email access and collects college property from terminating employees.
  • With the job-share partner, coordinate the annual employee service award recognition program. Recommend timeline, create and distribute invitations, track attendance, prepare certificates, and work closely with various departments to prepare menu, gift catalog, venue, and technology needs for the event.
  • Minimum of one year of office administrative support/office clerical experience, preferably in a high volume service-oriented environment.
  • Review new employment paperwork from new employees and student workers, ensuring that tax and I-9 forms are valid. Assist with forms and answer questions regarding forms. Enter the information into the e-Verify system.
  • Intermediate level computer skills using a windows based operating system, specifically Microsoft Word, Excel, and Outlook
  • High School diploma. Coursework toward Associate/Bachelor's degree is preferred.
  • Review and process Tuition Remission forms for eligible employees.
  • Prior experience working in a human resources office is desirable. Additional Information: This is a part-time position with a work schedule of 24 hours per week. Work Schedule: Monday-Thursday: 11am - 4pm or 12pm-5pm Friday: 12pm - 4pm In addition to base pay, compensation includes pro-rated participation in college health and dental benefits, paid time off, tuition remission at 50% for employees, retirement plan and the use of our fitness center.
  • Other duties as assigned. Requirements:
  • Complete "on board" tasks for all new hires, such as arranging for them to have an e-mail address, ID card and appropriate building access.
  • Meet with new hires on their first day to review basic information such as email accounts, parking permits, pay schedule etc.
  • Maintain electronic databases and paper records of employment changes (additions, department transfers, and terminations) update College's phone directory, web directory, staffing summary report, and organization charts. Post updated records on the HR SharePoint page.
  • Serve as back up to the Human Resources Coordinator in deployment of required employee trainings through the learning management system.
  • Organizational skills and ability to prioritize in a fast-paced work environment with frequent distractions.
  • Resume
