This Technical Operations (Tech Op) Administrative Coordinator invests in the future of Southwest’s People in their work supporting Leaders and Teams in the Tech Ops Department. This role will serve as a generalist in this space, and they’ll provide overall support to Sr Administrative Assistants and Administrative Coordinators for things like booking travel, scheduling meetings, organizing catering, and carrying out administrative tasks. The Tech Ops Administrative Coordinator is excited learn and grow in their expertise each day and support Southwest’s operation.

Responsibilities
Provides friendly services to and maintains positive relationships with all Internal and External Customers
Manages the overall operation of the office and provides support to Tech Ops Leadership by setting appointments, arranging meetings, purchasing all supplies and equipment and drafting correspondence
Maintains calendars, makes travel arrangements and handles travel reimbursements
Issues and audits accountable documents and reconciles Purchase Card transactions
Manages departmental budget-related activities, reconciling and/or ensuring budgetary compliance
Plans and organizes events and prioritizes workflow to ensure efficient operation of the office
Updates databases, organize files and records, draft and proof correspondence, reports, presentations and other documents
Compiles data and prepare reports
Coordinates and leads volunteers to execute all Team meetings and functions
Works on various Department projects as assigned by Departmental Leadership
Open sort and respond to mail
Additional duties for Base Station Tech Ops Administrators
Provides support for all aspects of local SIDA Badging, including but not limited to Initial badging, renewal, and International seals
Lists employees on Must-ride flights in Altea Reservation System
May perform other job duties as directed by Employee's Leaders
Knowledge, Skills and Abilities
Ability to use a computer keyboard with sufficient speed and accuracy to meet the demands of the job
Ability to communicate effectively, both orally and written and to various levels of audience
Proficient in all Microsoft Office programs and other department specific software packages
Ability to operate multiline telephone with courtesy and sufficient speed
Ability to read documents, follow instructions, learn and understand office procedures
Ability to perform mathematical computations
Excellent attention to detail and ability to function well with minimal supervision and/or assistance
Ability to organize work effectively, perform concurrent tasks and be able to execute assignment with multiple interruptions and shifts in priorities
Ability to demonstrate an extremely high regard for confidential and sensitive information Education
Required: High School Diploma or GED
Experience
Required: Entry level experience, developing skills and knowledge in:
Business office or administrative experience
Preferred: Knowledge of Microsoft PowerPoint for deck building and Microsoft Teams/Microsoft outlook for Communication and scheduling
Preferred: Knowledge of SharePoint
Preferred: Knowledge of Quickbase
Licensing/Certification

Physical Abilities
Ability to perform work duties from [limited space work station/desk/office area] for extended periods of time
Ability to communicate and interact with others in the English language to meet the demands of the job
Ability to use a computer and other office productivity tools with sufficient speed and accuracy to meet the demands of the job

Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines
Must be a U.S. citizen or have authorization to work in the United States as defined by the Immigration Reform Act of 1986

Pay & Benefits:
Competitive market salary from $49,300.00 per year to $54,800.00 per year * depending on qualifications and experience, with opportunity for future pay increases based on performance and market movement. For eligible Leadership and individual contributor roles, additional bonus opportunities are available and awarded at the discretion of the Company.
