Job Description
Summary Responsible for providing administrative support to the Water Manager and Field Service Supervisor in Water Metering. Essential Functions and Other Important Duties Essential Functions: * Under general supervision, performs standard and technical administrative duties including administrative detail, discretionary decision-making and specialized knowledge; may perform operational functions * Participates and assists in the administration of a department; prepares comprehensive reports, maintains database of departments daily work activities * Uses Microsoft Office and specialist software to produce documents such as letters, reports, lists, forms, memoranda, and other correspondence in draft and final copy * Enters work orders, meter change outs, sets up water service accounts in Utility Customer Service Northstar System * Establishes office procedures and filing systems * Receives telephone calls, visitors, and incoming correspondence; answers routine to difficult questions, and/or forwards to appropriate supervisor * Orders and maintains office supplies * Conducts research assignments of simple to moderate complexity. May research and assemble or direct the research and assembly of specialized materials relevant to departmental projects in progress * Utilizes Building Inspection Central Square Community Development system to retrieve work orders for new meter installations * Dispatches emergency water related calls to Water Meter Technicians * Maintains regular and punctual on-site attendance Additional Duties: * Performs other duties as assigned Job Requirements Minimum Qualifications / Acceptable Equivalency: * High School Diploma or GED equivalent * Four (4)years of progressively responsible experience in an administrative position which involves high public contact, discretionary decision-making, handling of confidential matters and administrative duties OR * Associate's degree and two (2) years general clerical experience * Two (2) years of progressively responsible experience in a secretarial position which involves high public contact, discretionary decision-making, handling of confidential matters and administrative duties OR * Any combination of related education, experience, certifications and licenses that will result in a candidate successfully performing the essential functions of the job Core Competencies: * Ability to communicate effectively both verbally and in writing * Ability to form and maintain effective relationships with coworkers and customers * Ability to make discretionary decisions and handle confidential and administrative duties * Demonstrated excellent customer service skills * Demonstrated computer literacy in word processing, spreadsheets, data base management and other software appropriate to the department Preferences: * Bilingual in Spanish and English * Basic knowledge of Microsoft Office * Knowledge of JD Edwards and City of Denton processes * Knowledge of Computerized Maintenance Management Systems (CMMS) like Azteca Cityworks * Knowledge of and experience with Utility Customer Service Northstar System * Prior customer service and general office experience * Prior utilities experience Conditions of Employment: * Must pass a drug test, criminal history background check, and social security number verification check * Must be able to work overtime when requested Environmental Factors and Conditions/Physical Requirements Physical Requirements: Overall Strength Demands: The italicized word describes the overall strength demand of the functions performed by the incumbent during a typical workday. * Sedentary - lifting no more than 10 pounds * Light - lifting no more than 20 pounds; carry up to 10 pounds * Medium - lifting no more than 50 pounds, carry up to 25 pounds * Heavy - lifting no more than 100 pounds, carry up to 50 pounds * Very Heavy - lifting more than 100 pounds, carry more than 50 pounds Physical Demand Codes:The following describes if the incumbent is expected to exert the following physical demands during a typical workday and the overall frequency.
