Job Description
Join our team as the Executive Assistant to the Founders, where you'll play a crucial role in optimizing the day-to-day operations of our visionary leaders. We are seeking a proactive and network-savvy individual with strong problem-solving skills and a natural leadership ability. As the ideal candidate, you'll constantly explore innovative ways to leverage technology, streamline processes, and connect with your network to tackle challenges head-on.
In this role, you'll interact with a diverse range of stakeholders, both professionally and personally, while adapting to the working styles and preferences of our Founders. Effective communication and organizational skills will be key to ensure priorities are understood and met.
Responsibilities
Proactively communicate priorities, requirements, and inbound requests to personal and professional stakeholders.
Manage scheduling and availability for our Co-Founders.
Prepare and organize meetings, including documentation gathering and recap distribution.
Prioritize and handle email correspondence on behalf of the Co-Founders.
Coordinate travel arrangements, including lodging, flights, and transportation.
Attend to personal tasks, such as contract signatures, warranty claims, appointments, bill payments, and grocery shopping.
Enhance operational efficiency by researching and recommending new tools and processes.
Qualifications
Remote location in the United States or Canada.
Detail-oriented: Ability to provide tailored recommendations, like finding a unique and suitable restaurant in Berlin for a client visit by leveraging past experiences and local resources.
Ruthless prioritizer: Skillful at managing and prioritizing a large volume of emails, ensuring that urgent matters are promptly addressed.
Executive communicator: Proficient in summarizing complex tasks into concise and actionable bullet points that focus the Co-Founder's attention on key areas.
Resourceful: Demonstrated ability to leverage personal and professional networks to find creative solutions, such as securing event tickets through direct contacts.
Big Picture Thinking: Actively stay informed about industry trends, competitors, and emerging marketing strategies. Present new opportunities and initiatives with well-researched plans and time management considerations.
Technology Savvy: Continuously seek ways to improve efficiency and visibility by researching and adopting new tools and systems, leveraging industry connections for insights and recommendations.
Discretion: Maintain strict confidentiality and professionalism, respecting the privacy of sensitive information.
Situational Awareness: Observe patterns and preferences to optimize scheduling and allocate deep thought work to the most productive times.
Networking: Proactively build and expand professional connections with fellow Executive Assistants, industry experts, and professionals from various fields to broaden your resource network.
