Talent Equity Group is seeking an experienced Executive Administrative Assistant to support two executive-level healthcare professionals in the Harrison, NY area!
POSITION SUMMARY:
The Executive Assistant provides support to key executives of the business. The incumbent serves as key point of contact for internal and external constituencies. The Executive Assistant is a liaison to the senior management team; organizes and coordinates executive outreach and oversees special projects. The incumbent will exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, along with the ability to maintain a balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
RESPONSIBILITIES:
- Plans, coordinates and ensures executives schedules are followed and respected.
- Researches, prioritizes, and follows up on incoming issues and including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Works closely and effectively with the executive team to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Communicates directly, and on behalf of executives supported, with internal and external constituents.
- Completes a broad variety of administrative tasks including: managing multiple, active executive calendars, completing expense reports, composing and preparing correspondence, arranging meeting agendas, travel plans & itineraries
- Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects, some of which may have organizational impact.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
Required Qualifications:
- Attention to detail with excellent organization and planning skills.
- Demonstrated initiative with the ability to both work independently and be resourceful.
- Excellent communication skills.
- Advanced proficiency in MS Office (Excel, PowerPoint, Word, and Outlook).
- Ability to anticipate needs and use sound judgment, resourcefulness and tact/discretion in handling confidential matters.
- Ability to effectively manage multiple, competing priorities, staggered deadlines, in a fast-paced environment.
- Two years of relevant experience with a bachelor’s degree or five years of experience
