Job Description
Red Carrot is seeking a Scheduler and Administrative Assistant to join a team to support our federal government client. This assistant must be capable of providing all-encompassing administrative support, staff scheduling, and managing day-to-day administrative affairs efficiently. This is a hybrid position. Located in Miami, Virginia, Maryland, or DC.


Responsibilities


  • Exercise basic to intermediate formatting skills for a variety of reports, presentations, and spreadsheets
  • Manage the day-to-day administrative requirements of the team
  • Reschedule or cancel meetings in a timely manner, noting the reason for cancellation
  • Coordinate administrative tasks, and oversee designated administrative operations
  • Send out reminders of scheduled meetings
  • Manage and confirm travel bookings and arrangements
  • Keep stakeholders informed of project timelines and associated deadlines
  • Maintain calendar, including scheduling daily appointments and de-conflicting appointments whenever necessary
  • Establish and maintain effective and appropriate working relationships
  • Prepare agendas, presentation materials, meeting requests, and meeting minutes
  • Fully coordinate interviews, meetings, panels, etc. maintaining effective communication with the appropriate staff and with external stakeholders
  • Maintain stakeholder email and distribution lists
  • Verifying the availability of in-house and external participants for planned meetings
  • Develop written documents and correspondence that demonstrate a mastery of basic grammar, spelling, and punctuation skills
  • Compile input for and draft/organize a variety of reports
  • Accurately enter information into databases/tracking systems
  • Ensure effective document management
  • Maintain templates and resources for operations


Qualifications


  • Be proactive in seeking solutions to problems relating to scheduling/calendar issues and other tasks that present competing priorities
  • Work on and prioritize multiple assignments throughout the workday
  • 4+ years of experience as an Administrative Assistant
  • Bachelor’s degree or equivalent experience
  • Experience providing administrative assistance to senior leadership
  • Work independently to complete tasks and/or work products with conceptual guidance
  • Demonstrate the ability to manage multiple priorities within a fast-paced environment
  • Proactively identify assignments
  • Demonstrated a high level of proficiency in MS Word, Excel, PowerPoint, and Outlook
  • Produce work products that require minimal revision
  • Effectively communicate in written and oral formats; able to respond in a timely manner to requests for information
