YinzCam islooking for a Projects Records Assistant to help the CEO with records management, specifically, with documenting and tracking client projects, client requirements, and project status for the company's200+ sports clients around the world.
This is a writing-heavy, records-management role: 80% of this role will require thorough documentation of client projects, by compiling information from various sources, including Slack, JIRA, Service Desk, email, meetings, and other team members.
THE ROLE
You will be the keeper of records that document every client's completed projects, every client's active projects, and the status of these active projects, in the form of a standardized client portfolio document. You will own the lifecycle of records management, including the setup, maintenance, and updates to these project portfolios on a daily basis. You will compile the necessary documentation and update the necessary records, in order to prepare the CEO for client meetings daily.
The ideal candidate has a passion for technical writing, remaining organized under tight deadlines, and doing what it takes to meet deadlines. Above all, the ideal candidate must be able to work at the pace of the CEO, and have the ability to learn and anticipate the CEO's needs and preferences for organization, writing style, responsiveness, and documentation.
As a Projects Records Assistant to the CEO, your day-to-day responsibilities will involve:
- Documenting the minutes of the CEO's meetings with clients, to enable the subsequent tracking of projects.
- Preparing, maintaining, and updating the portfolios/records of client projects daily;
- Preparing the CEO for weekly meetings with clients with up-to-date documentation of project status, risks, requirements, and blockers.
- Ensuring that all client portfolios/records are kept up-to-date daily;
- Ensuring that all client requests (coming in through email, Slack, JIRA, etc.) are documented and responded to;
THE REQUIREMENTS
- 3+ years of experience with record creation and record maintenance at a large volume
- 3+ years of experience with the detailed documentation of technical projects/products
- Professional, articulate verbal and written communication
- 3+ years of experience of using project-management tools such as JIRA and Service Desk
- Self-starter, with the ability to learn quickly and independently
- Attention to grammar, punctuation, sentence structure, and clarity of writing
- Highly-organized, deadline-oriented, ability to thrive under pressure.
- 3+ years of experience of working in fast-paced technical companies
