Job Description
Tech entrepreneurial couple is looking for a Personal Assistant to support their family. In this role, you will manage and own a variety of projects such as managing appointments, owning the family and principal’s calendars, arranging documentation and administering access, purchasing tickets and gifts, running errands, managing household inventory - supplies, electronics, art, etc., and arranging travel with detailed itineraries for all family members. You will also help with mail, vehicle servicing, bill pay and vendor payments, and event planning. This is a great opportunity to support a well-known family. Someone who is excellent with communication, privy to confidentiality, flexible and resourceful will thrive. Their main residence is based in San Francisco where this person will work from. 130K+ DOE


Responsibilities


  • Create and manage inventory and stocking for all personal and household supplies.
  • Responsible for ensuring the privacy of the principals. Ensure all vendors go through NDA and background checks.
  • Provide on-call coverage and after-hours support and communication.
  • Pay bills and oversee the procurement and payment of vendor invoices by the family office.
  • Manage the maintenance of all vehicles and ensure proper documentation is in each vehicle.
  • Assist with household staff recruitment, onboarding, and HR Benefits and Payroll systems. Administer online access to software for other household and home office staff.
  • Manage proper communication chain between the principals and their staff, vendors, and externals, ensuring important information is relayed discreetly and with good judgment.
  • Manage the Principal's personal and general family calendars. Book & manage family medical and personal appointments including doctors, dentists, and others.
  • Manage gift planning. Maintaining gift calendar, planning and coming up with gift ideas, and executing tasks to prepare gifts such as purchasing, wrapping, etc.
  • Plan, organize, and execute special events - this includes budget planning and coordination with external vendors and guests. Manage all events from start to finish and collaborate with the Estate Manager as needed.
  • Arrange & manage family and staff travel (both international and domestic) including charters, boats, ground transportation, meeting times, meal arrangements, travel documentation, and accommodations. Create detailed itineraries for travel arrangements and work with the Executive Assistant to ensure calendars are up to date.
  • Research and book extracurricular activities and camps and work directly with head nanny to understand all childcare needs and assist when and if necessary.
  • Research, create documentation, and provide project support as needed. Develop templates for trip and event planning.
  • Run personal errands - shopping, picking up any orders, purchasing tickets for events, sending/receiving mail packages, etc.
  • Oversee all guest needs at the home, develop a guest manual, and keep detailed guest notes for future use.


Qualifications


  • You will be privy to confidential information and potentially VIPs in the home or in email correspondence. The principals are looking for discretion and trustworthiness with all confidential matters.
  • Please Note: Your application will be considered for all open positions. You do not need to apply for multiple roles.
  • Sometimes, things come up and we may need you available before or after regular hours and occasionally on the weekends. Though we understand you cannot be available 24/7, we would appreciate some flexibility in cases of emergencies and urgent matters.
  • Collaborative mentality. Knowing how to get along with different personalities and people will help you succeed in this role.
  • Must have a valid driver’s license and the ability to operate a vehicle to run errands as needed.
  • Strong written and verbal communication is required.
  • Situations can be avoided by being proactive. Having an eye for things, fixing situations before they become a larger problem, and knowing how to problem solve are all helpful qualities we’d love to see in our Personal Assistant.
